Description
The Procurement/Shipping Specialist is responsible for procurement, MRO/packaging inventory, and processing outbound shipments. Procurement includes generating Purchase Orders, receiving of inbound deliveries including customer returns, and maintaining accurate supply of MRO warehouse. Shipping processes outbound shipments to insure timely and accurate delivery. This position does not have any supervisory responsibilities.
Responsibilities:
Purchasing and Inventory
- Maintain all delivery documents including packing slips and bills of ladings, as records of the delivery and receipt being completed against Purchase Orders.
- Prioritize and process daily internal order requests upon expenditure approval via OurClysar prior to final processing of Purchase Orders by the Stores/MRO Buyer.
- Replenish Stores stock items in specific locations.
- Interact daily with freight carriers to check-in and review incoming parts and material.
- Assist with sourcing to optimize costs, quality, delivery and product specifications.
- Receive inventory into ERP system utilizing Purchase Order Numbers.
- Inspect inbound shipments for evidence of damage including taking photos, complete procedural documentation and acquiring carrier driver signatures as needed for item replacement or Damage Claim purposes.
- Communicate with department personnel on inbound shipments flagged as ‘Inspection Required’
- Communicate and document all delivery discrepancies to the Buyer of Record for decision and disposition prior to system receipt.
- Prepare packaging and labeling for parts and equipment being shipped off site for repairs.
- Delivery of items to various departments within the facility.
- Ensure accurate and timely information is maintained in the inventory systems that reflects accurate inventory levels, orders, and pricing.
- Review and reconcile MRO inventory warehouse at month end.
Shipping
1. Maintain accurate shipping documents including Bill of Lading, sort all packing lists by due date, and provide copies to customer service as needed.
2. Handles shipping and logistics including coordinating pickup information and providing Bill of Lading to carriers, and closely monitor overflow requirements.
3. Prepare small shipments via Fed Ex system and also special plant requests using FMC paperwork.
4. Verify pallet counts with Bills of Lading and loaders copy.
5. Ensure proper paperwork and Pro’s are distributed to carriers.
6. Resolve shipment discrepancies with customer service, production and shipping.
7. Maintain accurate inventory including pallet location in Syspro as needed.
8. Determine best carrier for returning film from customers.
9. Run dispatch notes report, compare to lineups, contact accounting to release shipments and to process invoices.
Assist in filing of claims with carrier for damage and or missing product.
Requirements
· Excellent attention to detail for accurate recordkeeping.
· Ability to troubleshoot and resolve customer complaints or shipping problems.
· Proficiency with Microsoft Office, ERP (shipping), and warehouse equipment such as scanners.
· Must be able to take initiative and work independently and be a team player.
· Must have good communication skills and be able to organize and prioritize as situations occur.
Qualifications
High school diploma or equivalent.
Fork truck certification.
Physical Requirements
The job requires lifting, carrying, and climbing stairs.
