Description: Ellington is seeking applications for a full-time Administrative Assistant supporting both Special Educational Services and IT (Information Technology).
Job Summary: The successful candidate will provide support to two offsite specialized programs (TEC and BASES) which support approximately 55 students, as well as IT (primarily in the summer months). This position will be housed at one of the off-site locations located at 89 West Road in Ellington.
Qualifications: Applicants must have good interpersonal/communication skills, be highly organized, be able to multitask, contribute to a positive work environment, and be able to effectively communicate with parents, staff and the general public. Applicants should have excellent office and computer skills and proficiency in Microsoft Office Suite and G-Suite applications is essential. Applicants will also be expected to develop proficiency in other software that supports the office functions. Confidentiality is critical. Candidate must be dependable, trustworth and a team player.
TEC/BASES Programs (during school year)
Responsibilities include but are not limited to:
Office Administration:
Monitoring substitute coverage/requesting paraeducator substitutes.
Tracking staff attendance, and facilitating paraeducator time card submissions for payroll.
Updating daily list of events happening in program
Copying/answering phones, light accounting, supply ordering
Monitoring visitors
Submitting office equipment supply and repair requests
Collaborating with staff in other departments
Monitoring staff attendance and communication regarding attendance to the business office
Safety Drill Forms for monthly safety drills
Suspension/discipline entry into Infinite Campus
Calendaring
Calendar management for multiple individuals
Scheduling PPT meetings including calling parents and managing multiple calendars
Scheduling intake appointments/visits from other school districts
Creating PPT invitations on CT-SEDs (CT state Special Education Platform)
Scheduling meetings for administrators of BASES and TEC
Student-related duties:
Student enrollment (monitoring, keeping track of entrance and exit)
Monitoring attendance, attendance letters
Behavioral reports, discipline letters
Filing health records
Maintaining rosters for after school clubs and arranging transportation to other schools.
Ordering and picking up lunches for TEC
Reviewing IEPs for compliance
Transportation:
IT Support:
- Perform state reporting tasks during submission timeframes in conjunction with the district Database Administrator. These reports include
- Daily PSIS registration of new and exiting students
- PSIS June Collection
- Teacher Course Student reporting
- PSIS Summer Roll-up
- ED166
- Assist in auditing contact and demographic information in the Student Information System (Infinite Campus) as needed.

Qualifications:
A Bachelor’s degree in public or business administration will be given added consideration. The Board reserves the right to consider a combination of education and experience that it, in its sole discretion, considers substantially equivalent to education alone.
A minimum of two years of successful experience in an office environment, preferably in a school setting.
Possess excellent computer skills with proficiency in the use of Microsoft Office and G Suite (Google).
Compensation:
The position is part of the Ellington Educational Support Staff. Compensation, including hours and benefits, are set per contract, under Classification B: Administrative Assistant I. This is a 12 month contracted position and includes benefits.
Successful candidate will be required to submit to a state and national criminal history check as well as DCF review as is required by Connecticut state statute. Previous work in a school system is a plus.
