JOB DESCRIPTION
TITLE: ADMINISTRATIVE ASST - Business Analyst-FINANCE OFFICER/BOARD OF EDUCATION OFFICE
QUALIFICATIONS:
Bachelor’s Degree w/Accounting Background (Preferred)
Excellent degree of computer proficiency
Knowledge of standard office procedures and use of equipment
Basic typing and shorthand skills
Minimum of three years business office experience
Strong payroll background: Entry, Quarterly Reports, Taxes, Deductions
Capable of performing monthly and year end closing procedures
Finance & Accounting: Detailed knowledge of computer operations and school district accounting systems/software preferred.
Payroll & HR Expertise: Strong expertise with the full payroll cycle (entry, quarterly reports, taxes, deductions, TPAF, and PERS). Knowledge of Human Resources (HR) administration, including tracking staff absences, sick time, vacation days, and compliance with the Family and Medical Leave Act (FMLA).
Technical Skills: Required experience with Microsoft Office (Word, Excel). Excellent degree of computer proficiency.
Soft Skills: Strong attention to detail, analytical skills, strong organization, interpersonal, and communication skills are required.
Legal: Required criminal history background check and proof of US citizenship or legal resident alien status.

REPORTS TO: Board Secretary/School Business Administrator
SUPERVISES: Any assistant or part-time clerical staff assigned to the board office.
JOB GOAL:
To serve as the Board Secretary/School Business Administrator’s Assistant; supervise all administrative secretarial duties in the board office; coordinate district wide administrative activities; handle all payroll, TPAF and PERS monthly and quarterly pension reports, sick time reports, and all other personnel functions; assist in budget preparation, year end reports for auditing purposes, computer system budget set up of accounts and funding and all finance matters.
DUTIES AND RESPONSIBILITIES:
Supervises and coordinates the efficient workflow of the business office relative to the general and financial responsibilities of the School Board Secretary Business Administrator.
Performs all confidential work assigned by the School Board Secretary/Business Administrator.
Supervise the activities of all other board office personnel
Supervise and assist in the preparation of all correspondence and reports emanating from the board office.
Maintain personnel records of all certified staff
Maintain a regular filing system, as well as a set of locked confidential files.
Maintain a schedule of appointments for the Board secretary/Business Administrator and handles arrangements for conferences, meetings and interviews.
Handle all payroll matters, including pension
Monitors the preparation of the minutes of regular, special and executive session meetings of the Board of Education, as well as preparation of meeting agendas.
Assists in preparing state reports, budget information, grant requests, monthly board of education meeting agendas, monthly and year end financial reports
Records staff absences and handle monthly sick time reports
Serves as a backup for all matters in the absence of the Accounts Payable/Purchasing Agent.
Performs all other duties as assigned by the School Board Secretary/Business Administrator
TERMS OF EMPLOYMENT:
Salary Range-$60,000-75,000.
The work year is July 1 through June 30.

EVALUATION: Performance of this job will be evaluated annually in accordance with the provisions of the board’s policy on evaluation of non-certified personnel.
