The primary role of the Receptionist is to manage the front desk daily and perform various administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Answer all incoming calls in a timely and professional manner.
Route calls to the appropriate department or individual.
Assist callers with general questions.
Greet and announce office visitors.
Retrieve and distribute messages from general delivery voicemail.
Receive, open, date stamp, and distribute all US Mail.
Post all outgoing US Mail.
Replenish postage meter when funds are low.
Maintain supplies for Corporate Office and model homes by keeping inventory and placing orders.
Maintain neat appearance of lobby, reception desk, kitchen, and conference rooms.
Provide administrative support to various departments as needed.
EXPERIENCE, SKILLS, KNOWLEDGE
Proven work experience as a Receptionist, Front Office Representative, or similar role
Proficiency in Microsoft Office Suite
Hands-on experience with office equipment (e.g., scanners, printers, postage meter)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
High school diploma or equivalent; additional certification in Office Management is a plus
WORK ENVIRONMENT:
The work environment is representative of an office/field setting
The noise level in the work environment is usually quiet to moderate
