Title: Student Worker, Commencement and Events Student Assistant 

Department: Provost

Non-Exempt, Part-Time 

 

  1. Position Summary

The Commencement and Events Student Assistant supports the planning, organization, and execution of Commencement ceremonies and other university events such as GradFest, Academic Convocation, and recognition receptions. This role provides valuable hands-on experience in event management, university operations, and customer service while contributing to meaningful campus traditions and supporting effective communication between the university and graduating students.

Direct Report to: Director of Inclusive Excellence & Academic Success 

 

  1. Essential Duties and Responsibilities

The student assistant will support the Director in the following areas:

  1. Marketing & Communications

Assist the Director in providing information about Commencement ceremonies to graduates and guests. Responsibilities include managing the Commencement email inbox and website, and responding to phone and email inquiries. The student may also assist in drafting communication and marketing materials such as newsletters, flyers, and digital announcements. 

  1. Event Preparation & Logistics

Assist the Director in coordinating event logistics, including collecting and inventorying supplies, staffing event information sessions, and assisting with volunteer coordination and management.

  1. On-Site Support

Assist the Director with on-site operations for both Commencement ceremonies at the Waikīkī Shell on Friday, May 8, 2026, and Saturday, May 9, 2026, including setup, guest assistance, and event breakdown.

  1. Education and Experience

Minimum

Student must have completed at least one full term at Chaminade University of Honolulu. 

Preferred

Maintain a cumulative GPA of 3.0 or higher.

 

  1. Required Knowledge, Skills & Abilities 
  • Strong written and verbal communication skills
  • Excellent interpersonal and teamwork abilities
  • Proficiency with Microsoft Office Suite and/or Google Workspace
  • Highly organized with strong attention to detail
  • Ability to prioritize tasks, manage time effectively, and meet deadlines
  • Demonstrated reliability, professionalism, and ethical standards

 

  1. Physical Requirements

Duties involve light work in both office and event settings and require minimal physical effort with intermittent sitting, standing, climbing stairs, and walking on inclines. Must be able to lift up to 20 pounds, walk the campus with ease, and maintain fine motor skills. Must be able to communicate effectively and stand for extended periods (up to 10 hours) at indoor and outdoor events.

 

  1. Other Requirements: 
  • Must be available to work on May 8, 2025 and May 9, 2025 
  • Must possess a valid driver’s license 
  • This is a part-time, non-exempt student worker position. Depending on project cycles and departmental needs, additional hours or changes to the regular work schedule may occasionally be required.  Must be willing and able to work occasional evenings and weekends as needed.
  • Performs other related duties as assigned.
  • Adheres to all University safety and health regulations, following established procedures and policies. Reports unsafe conditions, acts, or injuries in a timely and appropriate manner.
