Job Summary The Communications Office Manager provides executive administrative support to the chief of Communications, Publications, and External Affairs and to the division at large. The position is an integral part of the Anchorage School District communications team and assists with team-related projects and tasks as assigned. The position has a retirement association with the Public Employees’ Retirement System (PERS).
Job Requirements The following are required:
A high school diploma or equivalent.
Four years of progressively responsible administrative support experience.
Ability and experience drafting correspondence.
Ability to maintain confidentiality.
Excellent grammar and proofreading skills.
Ability to communicate effectively.
Ability and initiative to prioritize work schedule, perform under pressure, and meet deadlines.
Ability to plan, organize, and facilitate unexpected heavy volumes of work and accept additional duties as required.
Proficient computer skills and in-depth knowledge of relevant software, such as Microsoft Office Suite.
Ability to flex schedule as required to meet division needs outside of normal business hours.
The following are preferred:
A bachelor’s degree.
Two years of experience at an executive or administrative assistant level.
Prior school district experience.
Familiarity with ASD computer programs such as BusinessPlus, Blackboard/Finalsite, and ParentConnect.
Essential Job Functions
Provides executive support to the chief of Communications, Publications, and External Affairs.
Provides support to CPEA assistant directors in the preparation of publications and internal and external outreach.
Plans and coordinates meetings, appointments, travel, and conferences, including management of the calendar of the chief of CPEA.
Monitors and maintains the CPEA budget and P-cards. Creates budget documents and facilitates procurement of services, supplies, and equipment needed for operation of the division including Publications’ print shops.
Assists with the facilitation, production, and management of Denali Awards and other outreach events and/or opportunities.
Works collaboratively with ASD divisions, district leadership, and community partners on various communication needs, including preparation and distribution of mass notifications.
Prepares and distributes media advisories and community partner notifications.
Manages workflow of Communications Service Desk Jira system, questions from the web correspondence system, and external flyer/poster approval process.
Prepares and manages Communications, Publications, and External Affairs meeting agendas and notes.
Creates, reviews, proofs, and/or edits memos, talking points, speeches, letters, Anchorage School Board memos, and other assigned communications.
Compiles information from ASD divisions/departments, community partners, and community stakeholders for internal and external communications campaigns, projects, publications, and reports.
Maintains productive relationships and communicates effectively with all levels of leadership, district personnel, community members, and community partners.
Facilitates public records requests assigned to the division.
Works as a member of a cohesive team.
Works collaboratively with the executive assistants to the superintendent, chief of Operations/chief Academic Officer, and school board.
Performs other duties as assigned.
Physical /Mental Demands The physical demands of this job require frequent standing, walking, sitting, speaking and hearing. Specific visual abilities are also required. The employee is regularly required to reach with his/her hands and arms and occasionally lift items weighing less than 40 lbs. Additionally, the employee must be able to understand vague and implicit instructions, be able to readily recall facts and details, handle conflict and make effective decisions under pressure. The employee must have the ability to effectively manage the stress of working with students, parents, and other employees representing diverse cultures, personalities, and work styles in a dynamic work environment.
