The Volunteer & Engagement Manager is responsible for primary oversight, management and coordination of both construction and non-construction volunteer engagement. The Volunteer & Engagement Manager works collaboratively as part of the Volunteer Engagement team in the development of processes that will engage volunteers in a meaningful and relevant manner with the ultimate goal of growing a sustainable volunteer base—for construction, and non-construction—within the affiliate. This positon also supports the organization’s specialty events including those that are volunteer/donor centered as well as staff centered.
Primary Duties and Responsibilities |
Volunteer Management
- Manage volunteer engagement efforts on behalf of HFHC
- Act as liaison between construction department and volunteer engagement to ensure proper volunteer scheduling according to build site needs
- Act as liaison between ReStores and volunteer engagement to ensure proper volunteer scheduling according to store needs
- Manage the scheduling of volunteer inquiries for all volunteer opportunities.
- Act as principal user and lead trainer for volunteer management software.
- Coordinate with Development Department, forming team build schedule according to construction site needs
- Coordinate with internal stakeholders on planning and execution of volunteer driven initiatives and specialty events
- Coordinate with all departments to assess the need for volunteer services throughout the organization, and to explore new opportunities for volunteer recruiting and engagement
- Implement recruitment strategies to engage volunteers in all volunteer positions to meet organizational needs
- Assist in management of special partnerships with non-sponsor volunteer groups such as community members, non-profits, military partners, woodshop team, cabinet crew, CTE Schools, Fraternity/Sororities, church groups, youth groups and schools
- Chair volunteer engagement meetings as necessary to inform stakeholders of schedule, events, policies and procedures
- Ensure internal and external stakeholders understand and follow standard organizational practices for volunteers including expectations, roles, waivers, screening, sign-in, orienatation, safety and DEI and use of volunteer management software (Regular visits to ReStores and construction sites are required)
- Support VE Department’s volunteer appreciation, training and retention goals
- Collaborate with director to create best practices and standards for recruitment, orientation and training of volunteers
- Manage implementation and maintenance of formalized Red Hat and Green Apron programs
- Ensure implementation of a volunteer appreciation program utilizing marketing, social media and special events
- Collaborate with internal and external stakeholders to plan and facilitate volunteer appreciation events
- Ensure appropriate hospitality procedures are understood and followed by all staff hosting volunteers
- Implement and maintain feedback process for evaluating the volunteer experience and productivity as well as provide appropriate response and follow-up with volunteers or staff as needed.
- Provide content and/or post content through social media documenting volunteer engagement and impact for program promotion and volunteer appreciation.
Special Projects
- Support director in management of organization specialty events that are volunteer, staff and community focused.
- Work with community engagement to effectively engage support of neighborhood community groups and organizations for volunteer opportunities (including community clean-up, and non-construction engagement on an as-needed basis)
- Work with homeowner services to manage and coordinate sweat equity engagement on build sites and in ReStores
- Team with marketing department to create and maintain marketing materials, partnership tools, and media outreach information as needed
- Collaborate with development and marketing on management of Habitat Young Professionals in support of organization mission.
- Assist in promoting culture of volunteerism as a key part of Habitat culture, philosophy and operations by supporting the implementation of a staff build program as well as measuring and sharing volunteer impact and stories
Metrics and Other Reports
- Collaborate with Director to responsibly manage spending and budget for program operations.
- Monitor and ensure volunteers and staff properly use volunteer management software to support accurate tracking of volunteer information and hours on construction sites, in ReStores and in other supporting positions
- Ensure the secure maintenance of accurate volunteer files including waivers, emergency contacts, and any additional screening infomation
- Prepare various volunteer tracking reports as requested by Director of Volunteer Engagement and other departments for reporting purposes as needed
- Track and monitor volunteer feedback and share across organization to enhance volunteer experience
Safety
- Understand and operate by safe work practices at all our locations and events to ensure we meet, if not exceed, OSHA and Habitat safety policies and procedures
- Ensure that all team members and volunteers are aware of and operate by Habitat’s safety policies and procedures
- Exercise outlined protocols by immediately notifying and collaborating with management on any safety related incident and/or respond to a report involving Habitat or any other related team members (workers, volunteers, and subcontractors)
- If within area of purview initiate and / or provide assistance for the proper investigation regarding safety incidents by following Habitat Safety policies and procedures

Qualifications |
- Bachelor’s degree from an accredited 4-year college or university preferred.
- 2-4 years volunteer management experience preferred
- Prior relevant experience with volunteer scheduling/management
- Strong relationship building and management competence
- Upbeat, positive, outgoing personable and able to relate well with diverse populations and age groups, able to work in a variety of settings to ensure good working relationships across all constituencies
- Excellent organizational and time management skills
- Valid driver’s license
- Community relations experience and working with volunteers
- English language, grammar, spelling, vocabulary, and punctuation
- Record keeping principals and procedures
- Computer applications related to the work including but not limited to volunteer management software, Microsoft Office Suite
- Possesses attention to detail, work accuracy and organization
- Able to work independently and with deadlines; demonstrates flexibility with changing assignment priorities

Working Conditions |
This job operates in a professional office environment, off site venues and outside event areas in various weather conditions. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines and occasionally uses construction equipment such as saws, hammers, levels, ladders etc. The role is required to adhere to HFHC safety guidelines when working on job sites.
