Corporate Facilities Specialist (Birmingham, AL)
JOB SUMMARY
This position exists to support Facilities Maintenance and Property Services employees and their customers at various APC facilities across the state. Responsibilities include, but are not limited to: Contract maintenance, time keeping, department/project cost tracking, purchase requisition, purchase orders, change purchase request creation and management, general work order initiation, invoice reconciliation, development and processing of expense accounts, account journals, files and record retention.
JOB REQUIREMENTS
- High School diploma or equivalent
- Bachelor’s degree a plus
- Comprehensive knowledge of accounts payable and procurement procedures
- Comprehensive understanding of APC & SCS time keeping, accounting and budgeting systems
- Proficient with Archibus, Maximo, PowerPlant, and Oracle
- Extensive knowledge of MS Word, MS Power Point, MS Excel and the ability to create tracking spreadsheets
- General knowledge of building facility operations
- Strong customer focus, and interpersonal skills
- Ability to handle sensitive and confidential information appropriately
- Demonstrated organization, prioritization, time management, and problem-solving skills

JOB RESPONSIBILITIES
- Receive invoices and determine distribution to appropriate reviewer
- Timekeeping for a group of approximately 30 employees
- Performing updates in Oracle
- Process large volumes of invoices for Facilities and Property Services work around the state and ensure appropriate documentation is routed and maintained
- Initialize expense allocation and verify account numbers to ensure appropriate accounting and that “charge backs” are accurate
- Produce/request supporting documentation for expense reports from vendors
- Prepare service and material requisitions for the organization as appropriate
