The City of New York and the State of California require Portage Point to provide compensation information for this role. This range represents the anticipated minimum and maximum base + bonus for this position based upon a good faith and reasonable estimate. This role is a full-time exempt position, thus not eligible for overtime compensation. The final compensation for this position will be set based on the applicant’s qualifications (education, training and/or experience related to this role), and therefore, may fall outside the range shown, depending on the circumstances. In addition to base salary, this role offers quarterly bonus payments, premium health insurance paid for by Portage Point and a generous 401(k) contribution.
Responsibilities
Oversee all aspects of daily office operations, including supply management, vendor relationships, mail, delivery, shipping logistics, maintenance and coordination with building management to ensure smooth day-to-day operations
Manage office technology and furniture needs in partnership with an external IT vendor ensuring systems and equipment are inventoried, functional and reliable
Serve as the primary point of contact for employees and visitors, maintaining a professional, organized and welcoming environment that reflects Portage Point’s high standards
Partner closely with the Talent Acquisition team to coordinate onsite interviews and technical assessments, creating an exceptional candidate and interviewer experience through thoughtful logistics and preparation
Partner with the Human Resources team to welcome new hires and ensure workstations are set-up
Lead the planning, budgeting and execution of monthly and quarterly New York office events including but not limited to monthly lunches and quarterly happy hours that strengthen team connection and engagement
Play a key role in the upcoming New York office buildout and relocation, coordinating logistics, vendor relationships and internal communications to ensure a seamless transition and optimized workspace design
Collaborate with Delivery Enablement leadership to identify, design and implement process improvements that increase efficiency and scalability across the Operations function
Manage office budgets, track expenditures and support operational planning to ensure fiscal responsibility and transparency
Develop and maintain relationships with key vendors and service providers, negotiate contracts and monitor service quality
Maintain awareness of compliance, safety and space utilization needs, coordinating solutions that align with firm policies and evolving business demands
Uphold and promote Portage Point’s culture of collaboration, excellence and adaptability, serving as a trusted resource and culture champion
Share and manage best practices, support internal trainings and contribute to continuous improvement initiatives across DE and the firm
Perform additional projects and responsibilities as assigned in support of firm growth and operational effectiveness
Qualifications
Bachelor’s degree from a top undergraduate program
Located in or willing to relocate to New York
Invested in a team-based culture motivated to collaborate in office four days per week
Four plus years of experience as an Office Manager, Operations Manager or similar role in a high-growth, fast-paced professional services or corporate environment
Excellent written and verbal communication skills including strong e-mail etiquette
High degree of maturity with a proven ability to interact with senior executives, team members and external partners
Event planning and vendor management experience required; experience with office moves and / or build outs preferred
Strong executive presence and communication skills
Proven ability to thrive in lean, fast-moving teams
High attention to detail, responsiveness and ownership mindset
Track record of success in high-pressure, client-facing environments
