About the Department
The Part-Time Academic Advisement Assistant provides front-line support to students seeking academic advising services, helping to foster a welcoming and student-centered environment within the Office of Academic Advisement. The assistant serves as the first point of contact for students, faculty, and visitors, offering general information, scheduling assistance, and administrative support to ensure a smooth advisement experience.
This is a part-time position working up to 25 hours per week.
Position Duties
- Greet and assist students in person, by phone, and via email, delivering timely and courteous service.
- Provide accurate information about academic advisement, registration procedures, and college resources.
- Schedule student appointments, triage walk-ins and calls, and verify whether a student can be seen by an advisor before directing individuals to the appropriate advisor, office, or resource.
- Support student enrollment by scheduling New Student Orientations and directing students to appropriate staff upon arrival.
- Maintain student files and records in compliance with institutional practices and privacy standards.
- Guide students in navigating college web resources, including course registration, financial aid status checks, term billing, and payment information.
- Prepare documents, forms, and other communications with a high degree of accuracy and perform routine clerical tasks to support the advisement team.
- Assist with departmental projects, events, and outreach activities related to student retention and success, both in person and virtually.
- Perform additional duties as assigned to support the Office of Academic Advisement.
Minimum Qualifications
- High school diploma or GED required; Associate degree preferred
- Secretarial or clerical experience required. Prior experience in Higher Ed or educational setting preferred.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks, organize information, and work independently in a fast-paced environment.
- Excellent computer skills, including proficiency in all Microsoft Office applications, including Word and Excel.
- Experience with the Higher Education ERP, Anthology preferred.
- Ability to work with discretion, maintain confidentiality, and exercise sound independent judgment
- Ability to work a flexible schedule with varied hours, including nights and weekends, to meet department and College needs
- Possess the ability to work well and communicate effectively with prospective and current students, staff, faculty, administration, and colleagues and community partners
- Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic, and ethnic backgrounds of community college students, faculty, and staff and a commitment to a student-centered environment
