Job Duties
- The Order Desk Team works from a shared queue to handle requests from third-party and internal customers. While all tasks will be cross trained, this position will have a special focus on third-party requests.
- Convert requests for quotes (RFQs) into ENTEK nomenclature.
- Access customer’s engineered drawings to facilitate accurate part information.
- Determine whether items are manufactured, fabricated or purchased.
- Review timeliness of pricing information located in ERP System. If the information falls outside our target criteria, reach out to the vendor to request a quote to include price and delivery information.
- Issue accurate purchase order document to vendor.
- Calculate pricing for purchased parts based on cost and defined applied margin.
- Responsible for tracking and documentation for drop shipments. Taking care of ensuring on-time delivery to customers and actual dates for ENTEK’s ERP System. Great care should be taken to ensure customer satisfaction and accurate KPI data for OTD.
- Create new part numbers in ERP System when required.
- With the highest level of accuracy, enter customer purchase order detail into ERP System. Ensuring any special handling is well communicated in the system.
- Send timely order confirmations to customers.
- Track and communicate any delivery delays or order updates to customers.
- Offer alternative MOC when appropriate, in order to expediate an order and sell out of inventory.
- Correctly identify and utilize appropriate Project Types to support accurate financial reporting.
- Elevate customer’s needs when additional support is required.
- Help with hospitality for customer visits when needed.
- Back up Order Desk – Express Lane Specialist when needed.
- Receive, respond to, compose and send emails in a professional and timely manner.
Requirements
Minimum Qualifications & Experience:
- High School diploma or GED.
- Ability to read, analyze, and interpret most documents.
- Basic mathematical skills (addition, subtraction, multiplication, division), required.
- Ability to define problems, collect data, establish facts, and draw valid conclusions to then develop reasonable solutions.
- To perform this job successfully, an individual must be able to perform each essential function satisfactorily.
- PC skills; Excel, Word and Outlook skills.
- Excellent communication both written and verbal with customers as well as ENTEK employees. Must be able to display excellent listening skills in person as well as over a telephone or video conference.
- Good teamwork attitude

- A true understanding of customer service; must be able to immediately respond to customer inquiries, gather and research information, assemble and forward information, verify that the customer understands information and is satisfied.

Preferred Qualifications & Experience:
- A working knowledge of Microsoft AX or similar ERP software.
- At least 2 years of manufacturing experience in the area of quoting and/or order entry.
- Ability to travel when required.
