About the Department

Under the general supervision of the Chief Information Officer, the IT & WeConnect Administrative Assistant is responsible for greeting all visitors, responding to inquiries from the public, and processing invoices and expense reports.

Position Duties

Under the general supervision of the Chief Information Officer.

Minimum Qualifications

(May not include all duties performed.)

  • Process invoices, expense reports; track and monitor invoice charges against purchase authorizations and purchase requisitions; maintain purchasing records and reconciles; track and report budget information
  • Coordinate and manage schedules and appointments; assist with communications; prepare correspondences; provide administrative support; work closely with the CIO, Deputy Director of IT, Solutions Manager, Data Quality Manager, and Data Center Manager to support departmental functions; Facilitate cross-functional communication and collaboration to ensure smooth operations
  • Assist with inventory management, ensuring accurate records of IT assets; Conduct data entry and maintain databases; Provide general customer service and support to internal and external stakeholders; Supports the CIO, Solutions Manager, Operations Manager, and Data Quality Manager; on day to day departmental operations; Manage and assist in the coordination of travel arrangements for all IT and WeConnect staff; Assist with emergency communications and ensure
    accurate dissemination of information during outages
  • Greet visitors and respond to inquiries from phone calls and emails; provide information of services and
    direct callers to appropriate personnel
  • Perform other related duties as assigned

PHYSICAL REQUIREMENTS / WORK ENVIRONMENT:
The employee has exposure to chemical compounds found in an office environment (e.g., toner, correction fluid, etc.). Note: In accordance with the U.S. Department of Labor physical demands strength ratings, this is considered sedentary work

Other Qualifications

An example of acceptable qualifications (at least one of the following):

  • Completion of secondary education or equivalent (high school diploma/GED)
  • Previous experience in an IT-related field and/or government preferred
  • Must possess and maintain a valid State of Ohio vehicle operator’s license and remain insurable under the City’s vehicle insurance policy
  • Any combination of education, training and/or experience equivalent to the minimum qualifications stated above
