Where we need you:
We are looking for a proactive and organized Office Assistant to keep our Zurich office running smoothly. You’ll support the Office Manager and management team across administrative, logistical, and employee-facing tasks. This hands-on role is key to maintaining a welcoming and efficient office environment.
Your core responsibilities:
- Serve as first point of contact for employee queries and support needs
- Coordinate mail, deliveries, and logistics across departments
- Maintain reception, kitchen, and office environment, including seasonal decorations
- Support meetings and events with logistics, catering, and room setup
- Provide basic IT and guest support
- Purchase and restock office supplies; follow up on facilities issues
- Maintain records, documentation, and assist with seasonal initiatives
The ideal recipe for our new Office Assistant:
- 5+ years in office administration or assistant roles
- Fluent in English and German, French is a plus
- Proficient in Microsoft Office; basic IT troubleshooting
- Familiarity with SAP and procurement workflows (PR/PO/GR) is advantageous
- Reliable, service-oriented, flexible, collaborative, and detail-oriented
- Strong multitasking and organizational skills
- On-site presence required 5 days a week
