Scheduling and Unit Clerk – Oncology Clinic
Department: Systemic Treatment Suite
Hours of Work: Part-Time Position
Day Shifts: 0800-1600, 0830-1630

PRIMARY FUNCTION:
Provide reception and clerical duties to support the operation of the patient care unit, including appointment scheduling and coordination with the Care Team. Provide secretarial support to the Systemic Treatment Units.
The incumbent is responsible for activities that support patient care, including coordination of appointments, patient information, and responding to urgent patient needs by directing to appropriate member of the health care team.
PRINCIPLE RESPONSIBILITIES:
- Schedule appointments for clinic visits and systemic therapy and notify patients of any changes (if applicable). Provide secretarial support to assigned unit: patient appointment coordination, administrative tasks, general correspondence, filing, mailing out appointment slips.
- Respond to telephone enquiries from patients, families, health care professionals, determine the nature of the query and re-direct accordingly.
- Enters patient care orders, clinic appointments and registration data electronically as required.
- Coordinates the transportation of patients, specimens, and materials necessary for patient care(e.g. Patient care orders, unit dose medications to medication rooms).
- Communicates critical laboratory results as informed by the lab. Refers inquiries about patient’s condition to the appropriate health care professional. Communicates effectively, maintains ethical standards, and maintains confidentiality.
- Transcribe physician orders in accordance with policy and procedure.
- Prepares reports and requisitions, including maintenance and clinical engineering requests, orders supplies as required, and follows-up on delays.
- Arrange admissions to hospital, outpatient procedures, and obtain test results as required. Record, monitor and report patient flow data electronically and follow-up as directed.
- Organizes the unit workstation to ensure efficiency and effectiveness.
- Performs related duties as assigned.
QUALIFICATIONS:
- 2-year Community College diploma in Medical Office Administration or equivalent combination of education and experience.
- 6 months medical secretarial or unit clerk experience in a healthcare setting within the last 2 years.
- 55 wpm on typing test.
- Working knowledge of computers: Word (Level 2), Excel (Level 2), Power Point, Microsoft Outlook, Internet Explorer.
- Proficient knowledge of Medical Terminology.
- Dictatyping skill.
- Proven organizational skills
- Demonstrated ability to work independently
- Ability to prioritize and problem solve
- Demonstrated effective oral and written communication skills
- Excellent interpersonal skills and demonstrated ability to communicate effectively, courteously, and tactfully.
- Proven ability to attend work regularly.
- Satisfactory criminal reference check and vulnerable sector search required.
