POSITION SUMMARY:
Oversees all functions of the reception desk operations and provides principal administrative support for a 50+ Center. Serves as a team member for all aspects of the Center.
STARTING SALARY HIRING RANGE:
$19.45 - $21.28

CLASS DESCRIPTION:
Performs intermediate technical level administrative support work under general supervision from an administrative or technical superior. Work typically involves performing clerical and secretarial work, such as data entry and document management, file maintenance of secure and confidential records, and public contact and service. Work may also include accounting clerical tasks such as bookkeeping, keeping of financial and other important records; preparing vouchers for payment; documenting and depositing cash receipts; and controlling, recording, and storing data. Work at this level may also include independent responsibility for a routine clerical process.
Position Duties

Responsible for administrative duties and front desk functions which include:
- Greets and directs customers, provides information, registers & collects and assists staff and visitors as needed. Follows the established policies and procedures as needed to ensure that a high quality of service is being delivered to older adults and their families.
- Reconciles daily receipts and performs close out.
- Provides support for the 50+ Center, including data entry and updating and maintaining database files and other systems.
- Responds to written and verbal requests for information from public, guests, staff and outside agencies.
- Keeps up-to-date on staff functions, programs and services and promotes them with center participants.
- Overall administrative duties such as mail distribution, supply orders, photocopying, faxing and filing, keeping calendars and scheduling appointments. Accurately learns and performs all essential duties and functions including with the highest standards of customer standards.
- Prepares and mails routine correspondence.
- Adheres to programs, department and county policies and procedures.
- Works towards securing the safety and security of patrons and staff.
- Operates software to produce various reports, memoranda, notes, etc. Enters data electronically to store appropriate data for later retrieval.
- Orders supplies and keeps an inventory of supplies on hand.
- Works as a team member on selected projects.
- Participate in activities related to Emergency Management as requested, including work outside normal business hours.
- Works and cooperates with coworkers and supervisors at all levels and attends meetings and trainings as directed by supervisor.
- Work may require evening and weekend hours.
This job has no supervisory responsibilities.
Minimum Qualifications
High School graduation or GED and three (3) years of related experience, or equivalent combination of education and experience.
PREFERRED EDUCATION, KNOWLEDGE, SKILLS AND ABILITIES:
Associate's degree or equivalent from a two-year college or technical school or equivalent combination of education and experience.
Cash handling experience.
Receptionist experience.
Experience in working in a senior center or its equivalent.
Strong interpersonal skills, excellent oral and written communication skills and the ability to work well with an ethnically diverse population.
Strong computer proficiency especially with Microsoft Office (Word, Excel, PowerPoint), database management and spreadsheet applications necessary.
Proficiency in virtual platforms and use of technology for human services delivery.

The noise level in the work environment is usually moderate. There is the usual noise and interruption associated with the front desk area of a large senior center.

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
