King & Spalding, a leading global law firm, is currently seeking an Office Services Assistant to join the Office Services department in London reporting to the Facilities Manager and Director of Operations Europe.KEY RESPONSIBILITIES:
- Sort and distribute incoming post/internal mail/couriers, etc., recording details where applicable. Franking outgoing post.
- Printing/scanning requests.
- Maintaining equipment: photocopiers, printers, franking machine, etc.
- Complete daily walk-through on all floors.
- Arranging couriers and bikes.
- Check and refill paper supplies in OS and where appropriate throughout the office: to include , printer paper, etc.
- Collection of recycling.
- Note and record any facility/maintenance related items that need attention and resolve those items that require immediate attention.
- Remove excess supplies and equipment from vacant office space.
- Assist with internal moves.
- Provide back-up cover in the absence of the Office Services Assistant and the Facilities Manager.
- Helping set up audio visual requirements in meeting rooms.
- Assisting with various meeting room setups and configurations.
- Enter weekly time entries in Workday.
- Various ad-hoc duties and project work where required.
QUALIFICATIONS:
- Working knowledge of work-flow in an Office Services environment.
- Demonstrates effective interpersonal, written and oral communication skills to facilitate effective working relationships with assigned staff, attorneys and clients.
- Ability to work on own initiative and pride in self and job.
- Is energetic, courteous and well-organized. Personable and willing to work as part of a team. Proactive, adaptable and flexible.
- Physical stamina and strength to lift, move heavy objects.
- IT literate in Microsoft Office and Teams. Experience with printing from Adobe.
