About the Role
Under the leadership of the Site Administrator, you will be responsible for providing reception services in a courteous and professional manner. You are also responsible for basic accounting functions, assist with the day-to-day administrative duties of Bethany Sylvan Lake’s business office, and any special projects may arise.
What you Will Do:
Reporting to the Site Administrator, Sylvan Lake, in this role you will oversee the day-to-day operations of the Bethany Sylvan Lake team, ensuring the efficient and safe operations of the facility.
Individual responsibilities will fall under the following areas of focus.
Service Excellence: Accountable for the provision of Front Office and Reception to Bethany Care Center.
- Answers incoming calls, screens and directs calls for all departments and staff
- Proper disposal of confidential information ie: resident charts and files
- Provides non-confidential information and responds to general inquiries
- Greets customers/clients and provides information and direction in a pleasant and professional manner
- Responsible for incoming and outgoing mail: applying postage, sorting, date stamping and distributing on a daily basis
- Ships, arranges for courier services and receives materials on behalf of BCS departments as required
- Screens and relays email messages from designated email accounts
- Maintains front office equipment, and troubleshoots as required
- Types letters and performs administrative tasks as requested
- Managing all resident accounts for Sylvan Lake
- Reconciling resident cash box and completing bank deposits as needed
- Creating monthly statements for Sylvan Lake residents
- Creating and posting Pre-Authorized Payments monthly
- Monitoring overdue accounts and updating spreadsheet
- Updating DLIP database
- Manage and provide foot care schedule twice a week
- Inputting resident financial information into Point Click Care

- Supports Administrative Assistant, Clinical Educator, Social Worker, Care Service Manager and care team through timely completion of assigned tasks

- Utilizes the reporting process for Employee Injury and Hazardous conditions and resident unusual occurrences.
- Participates in fire drills and understands fire, WHMIS, MSIP and general safety procedures.
Qualifications:
As the ideal candidate, you will have:
- A minimum of a grade 12 diploma. A certificate or diploma in office administration or related education required.
- Unit clerk certificate will be considered an asset.
- Good understanding of entry level financial activities.
- Strong computer and data entry skills and experience, including proficiency with Microsoft Office Suite.
- Excellent keyboarding skills.
- Strong verbal and written communication skills.
