About the Role:
WeGo Public Transit is seeking a detail-oriented and organized Fare Media Inventory Administrator to manage inventory and sales of all MTA and RTA fare media products. This role also supports accounts receivable functions and provides administrative assistance to the Accounting Manager, Controller, and CFO. Key Responsibilities:
Fare Media Inventory Management
Monitor inventory levels for QuickTicket and limited-use fare media.
Fulfill bulk and online customer orders; prepare for mailing or pickup within 2 business days.
Record and track sales transactions and maintain accurate sales history.
Handle customer service calls related to fare media types, pricing, and usage.
Process refunds, research claims, and manage credit card disputes.
Maintain relationships with third-party ticket outlets.
Accounts Receivable
Create and maintain invoices for fare media sales and other billing (e.g., utility usage).
Research and reconcile customer payments and account issues.
Assist with collections and credit evaluations.
Prepare bi-weekly deposits and support month-end processes.
Administrative & Support Duties
Maintain petty cash and process reimbursements with appropriate documentation.
Order and distribute office supplies for the department.
Prepare financial and sales reports as needed.
Provide backup support to Accounting Generalist for tasks such as mail distribution and A/P check processing.
General Duties
Perform additional duties as assigned by management.
Maintain confidentiality and accuracy in all financial matters.
Respond to emergency and time-sensitive situations with professionalism.
Qualifications:
High School Diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Business, or related field preferred.
Strong experience in office management and customer service.
Proficiency in Microsoft Office, especially Excel.
Accounting and bookkeeping experience strongly preferred.
Excellent interpersonal, problem-solving, and communication skills.
Valid driver’s license required.
Skills & Competencies:
Ability to follow detailed verbal and written instructions.
Strong organizational skills and attention to detail.
Able to work independently and meet deadlines under pressure.
Comfort handling repetitive tasks and managing cash transactions.
Skilled in preparing spreadsheets and written documents.
Physical Requirements (with or without reasonable accommodation):
Frequent sitting, standing, walking, reaching, and lifting.
Ability to operate standard office equipment (computer, printer, phone, copier, etc.).
