Join the creative pulse behind the show, where organization meets creativity! The Creative Team Coordinator plays a key role in ensuring seamless project workflow through the Creative Department by administrating project information, managing pre-sale tradeshow workflows, and coordinating project staffing across departments. This position serves as the operational hub between Sales, Design, Estimating, and supporting departments by ensuring timely and accurate data entry, resource planning, and communication for the assigned teams. Creative Team Coordinator Responsibilities
- Administrates the creative operational system “Work Front” including;
- Entering new project information including project description, Creative Lead, budgeted hrs
- Updates Work Front as information changes
- Closes out projects and updates win / loss status
- Collaborate with Creative Directors and Corporate Specialty Dept. heads to determine Creative Leads
- Works with other supporting dept. heads to determine support Dept. Project Leads & tracks changes throughout the project to maintain accurate information housed in SOD
- Works with Creative Lead to determine other creative resource availability required for the project including task description
- Supports project creative leaders in an administrative capacity with setting up meetings, travel arrangements / accounting, etc.
- Reconcile team credit card(s) and track charges in Certify
- Upload and Reconcile Payroll daily for resource charge-out reports & client billing
- Attend and run weekly Design & Estimating meetings along with Divisional VP
- Backup for Supervisor; Creative Team Coordinators
- Update internal Connect calendar with remote, vacation, and business travel for assigned creative team
Requirements
Creative Team Coordinator Requirements and Qualifications
- Minimum of Associate degree and/or two or more years’ relevant experience.
- Proficiency in MS Suite (Outlook, Word, and Excel) and MS Suite Cloud (OneDrive) required.
- Ability to type 50-60 WPM with levels of accuracy required.
- Must have high attention to detail with data entry and tracking.
- Experience with project management tools such (Workfront, Asana, Monday.com), strongly preferred.
