The Office Manager is responsible for maintaining and managing a professional environment that supports the successful practice of law. The Office Manager will oversee the administrative functions of the Charlotte office which working closely with the office's lawyers and Business Services Departments such as Finance, Human Resources, IT, Operations, Professional Resources and Client Development.
Responsibilities
Employee Relations and Staffing
- Work closely with HR and Professional Resources in NY to manage the employment lifecycle of staff and lawyers including hiring, orientation, leaves of absence, evaluations, and terminations
- In conjunction with the Director of Legal Support and Boston Administration, Office Head, and HR, determine appropriate staffing levels for the Charlotte office
- Coordinate employee-related events such as staff appreciation events, holiday party
- Work closely with the Office Head and HR to monitor and address all employee issues such as harassment, discrimination, etc.
- In conjunction with Professional Resources, implement training and development programs for lawyers, including the New Associate and Summer Associate programs
- Manage workflow of staff, monitor productivity of all timekeepers and report to the Office Head
Facilities and Operations
- Efficiently and effectively use resources in a way that supports the Firm and demonstrates fiscal balance
- Handle all local facility matters
- Establish and maintain appropriate vendor relationships
- Oversee inventories for the office including routine supplies and special orders
- Address and manage space needs
- Manage conference room bookings and all related services through firm-wide workspace software, as well as schedule various firm-wide departmental meetings by coordinating with other offices
- Monitor use of visitor offices and assist to ensure visitors of the firm have the office, telephone extension, and information booklet. Communicate room assignments to appropriate parties
- Maintain relationship with caterers to ensure smooth ordering of all food orders, including processing all catering invoices in an accurate and timely manner
Finance
- Prepare annual budget and related analysis
- Approve invoice payments
Qualifications
- Bachelor's degree required
- 3-5 years of experience in a professional work environment
- Prior law firm experience and/or office management experience a plus
- Excellent knowledge of and skills in basic office procedures
- Outstanding interpersonal skills and the ability to communicate effectively
- Capability to work effectively in a matrix-type organization
- Strong written and verbal communication skills and organizational skills
- Manage multiple projects concurrently and work independently
- Can quickly and proactively identify and analyze problems, develop solutions, and deliver results
- Solid technical skills in Microsoft Office, as well as the ability to learn new software and applications
- Professional, positive, and proactive attitude
This position will require physical presence in Proskauer’s offices on a regular basis (at least 4X per week or more, if it becomes the policy of the Firm or as business needs require).
