About the Department

The Grants team provides critical, holistic operational support to the City. The Grants Administrator is responsible for serving as the project lead in overseeing the fiscal success of the City’s activities, continuously working to improve our processes, and to provide exceptional customer service along the way. 

An employee in this classification would be a detail-oriented, operations professional with experience in project management and fiscal administration support. 

Position Duties

  • Serves as primary liaison between City departments, grant writing team and key fund holders to manage their funds and complex grant programs. 

  • Sets up grants system for gathering data, tracking submittals, funding received, contract management to include policy adherence, board approval process, to fiscal setup.

  • Compile data needed for internal and external reports, including progress and financial reports required by funders.

  • Works with the Budget and Finance departments on necessary matching allocation, when necessary.

  • Works with grant writing team on annual strategic plan for grants priorities.

  • Works with departments on reporting and deadlines on incoming grants. 

  • Stays up to date with IRS rules and regulations related to reporting.

  • Serves as a liaison with the Budget and Finance teams, ensuring a smooth flow of work between the departments. 

  • Maintains project management tools and trackers to monitor progress, facilitate team communication, and keep relevant funders informed along the way. 

  • Supports new business development by meeting with potential partners, evaluating projects, and developing collateral, proposals, and budgets.

  • Experience in grants writing administration or operations and/or nonprofit management. 

  • Experience with budgeting, forecasting, and/or reviewing financial statements. 

  • Knowledge and understanding of IRS rules and regulations as they pertain to nonprofits and government agencies. 

  • Extensive experience in cultivating relationships across various sectors and segments of a community. 

  • Excellent customer service commitment, interpersonal skills in working with external constituents and internal colleagues of varying levels and abilities.

  • Excellent skills and experience with Microsoft Word, Excel and Outlook, email protocol, and internet research. 

  • Experience using any grants management system is a plus. 

  • Bilingual (Preferably Speak Creole and/or Spanish).


ACCEPTABLE TRAINING AND EXPERIENCE:

Bachelor’s degree from an accredited institution in Public or Business Administration, preferably with some responsible experience in obtaining grants, and administration of grants in municipal government.

A valid Florida Driver's License.

This position will be allowed to work remotely and would require only occasional attendance at City Hall for meetings.
