The Team Coordinator role is a pivotal support position that plays a vital part in how our teams operate and engage with clients. This newly amalgamated role combines the responsibilities of the former Office Coordinator, offering a broader scope and greater impact. As the âgo-toâ person within your team, youâll support colleagues in producing high-quality deliverables, ensure smooth day-to-day operations, and contribute to a culture of excellence and collaboration. From managing key administrative tasks to coordinating team events and supporting work-winning activities, your contribution will help shape the success of our projects and people.Â

Is This Role Right for You?Â
If you're a proactive, organised professional who thrives in a dynamic environment and enjoys being at the heart of team operations, this role could be a perfect fit. Youâll bring solid experience in administrative coordinationâideally within a professional services or multidisciplinary settingâand a passion for continuous improvement. Youâll be confident using Microsoft Office tools, adept at managing multiple priorities, and comfortable liaising with stakeholders at all levels. Most importantly, youâll be a trusted team player who values integrity, inclusivity, and the opportunity to make a meaningful impact.Â

Key ResponsibilitiesÂ
Support project and team operations, including high-profile client work and routine administrative tasksÂ
Produce quality documents aligned with Arupâs brand, including proofreading and editing presentationsÂ
Coordinate diary management, meeting logistics, and AV requirements for team leaders Â
Organise client, social, and staff events, and assist with recruitment interview schedulingÂ
Promote best practices, support new starters, and contribute to team upskilling and knowledge sharingÂ

Skills & AttributesÂ
Excellent communication skillsâwritten and verbalâwith strong attention to detailÂ
Highly organised, self-motivated, and able to manage multiple deadlines effectivelyÂ
Strong interpersonal skills with the ability to build trusted relationships across teamsÂ
A growth mindset and commitment to continuous improvement and innovationÂ
Proficient in Microsoft Word, Excel, PowerPoint, and ideally SharePointÂ
