Position: LMS (Learning Management System) and Operations Specialist

Schedule: Standard schedule is Monday–Friday, 9:00 a.m.–5:30 p.m. ET, with flexibility to adjust hours as needed for training sessions, deadlines, or special projects.

Compensation: $60,000K-70,000K/year

Reporting to: Training Operations Manager

The LMS and Operations Specialist provides hands-on support for RAINN’s Learning Management System (UKG Pro Learning) and day-to-day training operations. This role ensures the learning platform runs smoothly, data and reports are accurate, and operational tasks are completed on time to keep training programs running efficiently.

Partnering closely with the Training Operations Manager, the Specialist assists with LMS administration, troubleshooting, report analysis preparation, and coordinating logistics across teams. This position is ideal for someone who enjoys staying organized, solving problems, and supporting colleagues to deliver a seamless learning experience for staff.

The LMS and Operations Specialist provides hands-on support for RAINN’s day-to-day training operations. The following core competencies represent the skills and qualities that will help the right candidate succeed in this role:

Essential Duties and Responsibilities:

LMS Administration & Technical Support

  • Launch training modules and maintain all LMS content, ensuring accuracy, accessibility, and timely deployment.
  • Perform routine system maintenance, configuration updates, and data uploads (e.g., classes, user profiles).
  • Troubleshoot LMS issues and coordinate solutions with IT, vendors, or the People Team as needed.
  •  Maintain process documentation, user guides, and ensure Section 508 compliance.
  •  Stay up to date on platform updates, enhancements, and best practices to improve the learner experience.

Data Management & Reporting

  • Pull and deliver scheduled and ad-hoc training reports for operational and leadership stakeholders.
  • Analyze training data to identify trends, participation gaps, and opportunities for improvement.
  • Create simple dashboards or visual reports using Excel, Power BI, or Google Data Studio.
  • Maintain accurate, consistent data across systems to support internal and external reporting needs (e.g., partners, funders).

Operational Coordination

  • Partner closely with the Training Operations Manager to support daily workflows, project tracking, and cross-team communication.
  • Assist with scheduling, logistics, and resource coordination for training sessions and operational projects.

  • Document and refine operational processes to improve efficiency and consistency.

  • Provide backup coverage for critical operational functions (e.g., technical support for trainees, data tracking system management, backend support for facilitators).

  • Support onboarding by ensuring new staff and volunteers have LMS access and relevant training resources.

Stakeholder Engagement & Training Support

  • Collaborate with program and training teams to ensure timely course enrollment, completion tracking, and follow-up reporting.
  • Provide basic guidance and training to staff on LMS usage and data interpretation.
  • Act as a bridge between technical teams, program managers, and external vendors to resolve issues and share updates.

Strategic Support & Special Projects

  • Share data-driven insights that inform training design and operational decision-making.
  • Flexibly assist with organization-wide initiatives and special projects that align with training team goals.

Training Commitment:

As a condition of employment, the employee must successfully complete a minimum of 80 hours of comprehensive blended training, designed to ensure competency across both the online and telephone platforms. This training includes but is not limited to:

  • 24 hours of self-paced online coursework
  • 8 hours of AI self-paced simulation training
  • 16 hours of live learning, spread over five instructor-led virtual sessions
  • 32 hours of chat observation and online shadowing

The initial phase of training culminates in a mock role-play assessment, which is debriefed with RAINN’s Training Team. Successful completion of this assessment is required before moving into supervised practice.

Following the role play, the employee will complete at least two 3-hour clinically supervised sessions on the online hotline, where they will assist users in real time while receiving individualized feedback from a Licensed Training Supervisor.

RAINN operates across both online and telephone modalities, new staff will complete approximately 29 hours of telephone training, including:

  • Call shadowing and observation.
  • Telephone role-play exercise.
  • Two final clinically supervised call sessions.

All training is conducted remotely, and while essential training is generally scheduled during regular shifts, some live or clinical components may require participation outside of your normal hours. Final approval from a Licensed Training Supervisor is required.

Position Specifications/Requirements:

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required:

Required Qualifications

  • Must be comfortable discussing issues surrounding sexual violence.
  • Bachelor’s degree in Education, Instructional Technology, Business Administration, Data Analytics, or a related field and a minimum of 3 years of experience with learning management systems, data reporting, or training operations (or an equivalent combination of education and experience).
  • Experience with data reporting and analysis, including pulling, cleaning, and interpreting data to inform decision-making.

  • Familiarity with AI tools and concepts, with the ability to use them to enhance learning experiences, streamline workflows, and support data-driven insights.

  • Strong technical proficiency with LMS platforms (UKG Pro Learning preferred).

  • Proven ability to create clear, actionable reports and present findings to stakeholders.

  • Proficiency with Microsoft Office Suite and data visualization tools (e.g., Excel, Power BI, Google Data Studio).

  • Excellent organizational, problem-solving, and time management skills.

  • Strong written and verbal communication skills.

  • Ability to adapt to shifting priorities in a fast-paced, collaborative environment.

  • Resiliently positive and energetic attitude, with the ability to successfully work on a team and independently.

  • Willingness and ability to work a non-traditional schedule which may include evenings and/or weekends/holidays.

  • Proficiency in Google Workspace applications (Gmail, Calendar, Drive, Docs, Sheets, Slides, Forms) with demonstrated ability to effectively utilize these tools for communication, collaboration, organization, and data management.

  • Carry out any additional tasks and responsibilities relevant to the work being completed, as assigned.
  • Must complete and pass a criminal background check administered by RAINN.

Preferred Qualifications

  • Familiarity with managing workflows, tracking deliverables, and supporting cross-functional teams in day-to-day operations. Experience in nonprofit program support is a plus.
  • Understanding of Section 508 compliance and the ability to ensure digital learning materials are inclusive and accessible to all users.

  • Experience supporting crisis intervention, adult learning, or staff training programs, with an understanding of best practices in learner engagement and program delivery.

RAINN's headquarters are based in Washington, DC. This position may be based regionally for someone whose residence is within the continental USA. Although this may be a remote role, it may require some periodic business travel to our DC offices for onsite meetings and training sessions.
