Responsibilities/Duties
The Accounting Clerk II is responsible for supporting the finance and accounting team with bookkeeping, data entry, invoice processing, and financial record maintenance. This position ensures accuracy in financial transactions, provides administrative support, and facilitates communication between departments. The role also contributes to improved internal controls and efficiency in financial processes.
Essential Duties and Responsibilities
- Processes purchase orders (POs) and matches invoices for retail receipts.
- Enters accounts payable invoices into Microsoft Dynamics Business Central (BC).
- Completes daily store reconciliations and posts results into BC.
- Processes vendor payments for accounts payable.
- Reviews and processes monthly vendor statements.
- Tracks and maintains vehicle assessments, tax collections, and licensing.
- Records and maintains mileage logs.
- Enters daily cash receipts into BC.
- Initiates credit applications, completes initial data entry, and delivers approved forms to vendors.
- Assists in developing, implementing, and maintaining process standards.
- Calculates diesel and unleaded fuel for Wisconsin Sales Tax reporting.
- Prepares and posts month-end general journal entries in BC.
- Runs employee driver abstracts as requested by Human Resources.
- Processes retail store inventory transfers to and from the retail location.
- Monitors fuel and assets in AFC software.
- Files monthly and annual compliance reports, including Wisconsin and Illinois Sales Tax, IFTA, IRP, MSC-150, UCR, and Off-Road reports.
- Applies for and maintains documentation of Oversize/Overweight (OS/OW) permits.
- Processes accounts payable.
- Maintains professional communication to foster positive working relationships internally and externally.
- Performs other duties as assigned by management.
- Follows company safety policies and procedures at all times.
Working Conditions and Physical Requirements
- Indoor Work: Work is primarily performed indoors with exposure to standard office conditions.
- Lifting: Occasionally lifts weights of up to 25lbs.
- Vision and Motor Skills: Vision and fine motor skills are required for the use of computers.
- Office Conditions: Exposure to standard office conditions, including exposure to heating and air conditioning and operation of computers.
- Physical Activity: Regularly stands, walks, sits, talks, and listens for long periods throughout the day.
Schedule
- Full-Time Position: This is a full-time position; typical work hours are Monday to Friday, 8:00 am to 5:00 pm.
- Overtime: Occasional overtime as workload dictates.
Skills You Need
- Minimum 1–2 years of accounting experience.
- Experience with AP, certifications, permits, and compliance reports is preferred.
- Prior roles in the construction, landscaping, or retail industry are a plus.
- Familiarity with Sales and Use Tax reporting preferred
- Proficiency with Microsoft Office Suite is required.
- Knowledge of bookkeeping is preferred
- Exceptional attention to detail and proofreading skills are required.
- Clear, professional communication skills to coordinate information between departments.
- Ability to learn and apply company standards for accounts payable and periodic reporting.
- Aptitude for process improvement, with the ability to identify opportunities to streamline and standardize administrative workflows.
- Ability to manage multiple priorities while meeting deadlines.
- Commitment to maintaining confidentiality of sensitive information.
- Excellent interpersonal and communication skills, both written and verbal.
