Unit Secretary

Sheltering Arms Institute is seeking a Unit Secretary to join the team. The Unit Secretary performs a variety of clerical tasks involved in preparing, maintaining and processing patient and unit activities, data and records. This position will have a mixed schedule of either 7am-3pm or 3pm-11pm. 

Performance Responsibilities:

 Physician Orders

The Unit Secretary demonstrates a high level of administrative competence as evidenced by:

·       Distributes patient care orders both computerized and/or written in accordance with established unit standards.  All STAT, Now or Urgent orders are processed in accordance with unit standards.

·       Demonstrates the ability to request patient transportation, as needed.

·       Demonstrates the ability to schedule/order all tests, procedures and clinic appointments in an accurate and timely manner as required.

·       Acts as a liaison with patient support departments in completing the processing of orders or making appropriate arrangements if patient needs or scheduling change.

·       Notifies the RN and/or LPN immediately when a delay or inability to process orders occurs.

Patient Record

The Unit Secretary demonstrates and retains proficiency in all aspects of maintaining the patient record as evidenced by:

·       Supports the safety and confidentiality of the patient record in the SAI environment.

·       Organizes and maintains patient records with timeliness and accuracy in accordance with established policy and procedure.

·       Prepares and maintains charts for admission, discharge, transfer, AMA, and expiration.

·       Maintains and updating the admission and discharge log book.

·       Assists other members of the healthcare team in locating patient information that may not be readily available.

·       Maintains an adequate supply of forms and patient record materials.

·       Prepares and maintains downtime forms and assists other members of the health care team in their use.

 

Qualifications and Skills

·       Previous experience setting up and maintaining office system (organizational skills) preferred.

·       Previous experience with medical insurance, MIS, and medical terminology preferred.

·       Previous experience in a health care setting preferred.

·       Previous experience with Microsoft Office software preferred.

·       Previous experience with use of EMR preferred.

Education/Certifications

·       High school diploma or GED required. 

·       Completion of medical terminology course preferred.
