Position Summary

The Mechanical Assistant Project Manager 2 supports the successful delivery of mechanical construction projects by collaborating with Project Managers on financial tracking, planning, subcontractor management, and quality control. This position plays a critical role in project coordination and documentation, exercising discretion and independent judgment to ensure project efficiency, client satisfaction, and regulatory compliance.

Essential Duties and Responsibilities

  • Provides direct support to Project Managers with documentation and management of change orders, RFIs, submittals, and procurement logs.

  • Assists with project cost control by helping track labor, materials, and job costs in coordination with preconstruction and project controls teams.

  • Independently reviews project specifications and scopes of work to support contract execution and subcontractor coordination.

  • Prepares and evaluates submittals and assists in client-facing proposal development.

  • Participates in the review and preparation of pay applications, change requests, and other financial documentation.

  • Contributes to subcontractor selection and award processes, including analysis and scope alignment.

  • Assists in contract administration, including tracking compliance, deliverables, and terms.

  • Supports project documentation including meeting minutes, correspondence, and regulatory tracking.

  • Coordinates with owners, architects, engineers, and subcontractors to ensure alignment on project milestones and resolve site-related issues.

  • Attends project and labor coordination meetings and contributes insights on scheduling and risk mitigation.

  • Manages and updates vendor and subcontractor resource information to support procurement strategy.

  • Assists with material procurement and supports field teams in scheduling and delivery coordination.

  • Collaborates with the field team and Project Manager to monitor labor reports and ensure accurate project timekeeping.

  • Performs other duties as assigned to support project delivery and organizational effectiveness.

Qualifications


Education and Experience

  • Bachelor’s degree in Mechanical Engineering, Construction Management, or related field preferred; high school diploma required.
  • Minimum of 2 years of experience in mechanical construction project coordination or estimating.
  • Prior experience with mechanical estimating or field exposure is preferred.
  • Demonstrated potential for leadership and long-term career development

Required Skills, Knowledge, and Abilities

  • Strong organizational, analytical, and time management skills with the ability to manage multiple priorities.
  • Demonstrated ability to work independently and exercise discretion in handling project coordination and administrative duties.
  • Excellent verbal and written communication skills, including technical writing and client correspondence.
  • Proficient in Microsoft Office Suite, Bluebeam, Accubid, and scheduling software.
  • Ability to perform detailed and accurate take-offs from construction documents.
  • Familiarity with estimating tools and the ability to support cost analyses.
  • Working knowledge of mechanical systems, components, and construction processes.
  • Strong interpersonal skills and a demonstrated commitment to safety leadership.
  • Valid driver’s license and clean driving record.

This job may work inside or outside with possible exposure to extreme hot or cold temperatures and weather elements in restricted or confined spaces, and on slippery or uneven surfaces. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

  • Move about on the feet regularly. Sit for extended periods of time.
  • Requires the ability to sit and work at a computer for extended periods of time.

  • Talk and hear, ability to communicate with others both written and orally and by telephone.
  • Possess good vision, normal or corrected. Specific vision abilities required by this job include close vision, distance vision, color vision to discern color coded wires, peripheral vision, depth perception and ability to adjust focus. 
  • Possesses good hearing, normal or corrected.
  • Must be able to wear personal protective equipment (hard hat, safety glasses, safety vest), as needed. 
  • Must be able to work 8 hours a day, 40 hours per week, and overtime as required and night shifts, as needed. Must be on-call to address delays, emergencies, bad weather, and other issues at the jobsite.
  • Must be able to work in the presence of customers and their representatives with little or no interference or disruption to the customer while maintaining a professional and courteous image.
