PURPOSE

The Front Office Coordinator serves as the first point of contact for visitors and callers, creating a welcoming experience. This role is responsible for managing incoming calls, greeting and assisting visitors, coordinating daily mail and deliveries and providing general administrative support.   The Front Office Coordinator plays a key role in maintaining clear communication and supports the overall efficiency of the front office. Performs related work as required.

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Greet, assist and direct visitors in a professional and friendly manner.
  • Provide general office support, including accounts payable, accounts receivable, data entry and document scanning.
  • Answer and route incoming telephone calls promptly and courteously.
  • Coordinate daily mail operations, including opening, sorting and processing incoming and outgoing mail.
  • Schedule multiple quarterly meetings with the flexibility for frequent adjustments.
  • Coordinate and place food orders as needed for meetings or events.
  • Monitor and replenish office supplies.

 

MINIMUM EDUCATION & EXPERIENCE REQUIRED TO PERFORM ESSENTIAL FUNCTIONS

  • High school diploma or GED; Associate’s degree in business administration a plus
  • Minimum of one year of experience in an administrative, receptionist or customer service role; Experience in front office operations preferred.
  • Experience with multi-line phone systems.
  • Proficiency in using standard office equipment including copiers, printers, scanners and postage machines.
  • Strong knowledge of Microsoft Office Suite and Adobe applications.


MENTAL AND PHYSICAL COMPETENCIES REQUIRED TO PERFORM ESSENTIAL FUNCTIONS

  • Strong verbal communication skills with professional phone etiquette.
  • Excellent interpersonal abilities and customer-focused approach.
  • Skilled in fast, accurate typing with strong attention to detail.
  • Ability to manage multiple calls and requests simultaneously in a calm and organized manner.

 

ENVIRONMENTAL ADAPTABILITY

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 10 pounds occasionally
  • May have occasional visits to a job site which would require periods of standing, walking and/or climbing stairs
