Position Purpose Responsible for supporting the elementary school by performing secretarial functions, including maintaining student files, records, and databases; answering phones and directing visitors; assisting students in the health clinic; answering questions and fulfilling requests; and preparing written communications. Duties may also include processing the mail, ordering instructional and custodial supplies, performing basic financial tasks, assisting with reports, and/or preparing and securing testing materials.
Essential Duties
Maintain student records through cumulative files and the District’s student information database program, including emergency cards, enrollment, withdrawals, immunization records, class lists, attendance records, and other student information as directed.
Serve as receptionist for the building, including answering phones, greeting visitors, answering requests, and directing individuals to appropriate contact.
Assist students in the health clinic, including maintaining health records, distributing medications, preparing First Aid kits and medicines for field trips, assisting sick or injured students, contacting parents or 911, and completing and sending student accident forms as needed. These duties may be performed in collaboration with the Principal’s Secretary.
Provide assistance to staff, students, parents, and school/community organizations as requested by the Principal. May process building use forms and assist with maintaining the school calendar.
Prepare clear, concise, and factual written communications.
May maintain files for correspondence, memoranda, reports, handbooks, and forms.
May order instructional and custodial supplies.
May prepare school newsletter, surveys, menus, website, and other materials regarding school programs.
Assist with or prepare reports required by the District, Colorado Department of Education, U.S. Department of Education, Colorado Department of Public Health, Social Services, and other agencies as directed. May prepare and secure testing materials as directed by the District. (This is a stipend-funded task.)
Attend District classes to keep abreast of current District student informationdatabase updates and district requirements, including October Count, immunization, and testing.
Other Duties Perform other duties as assigned.
JOB QUALIFICATIONS
Education/ Certification High school diploma or equivalent, plus specialized courses in computers and word processing.Criminal background check required for hire. CPR and First Aid certifications required within 1 month after hire. Valid Colorado driver’s license may be preferred based on school assignment. Experience One year and up to and including two years of clerical experience including word processing.

Contacts Daily contact with students, instructional staff, classified staff, building administrators and parents.
Supervisory Responsibility
This job has no supervisory responsibilities.
May assist with assigning and/or directing the work of Senior Tax Rebate Volunteers and office volunteers.
Responsible for supervising the behavior and well-being of students in the school office for disciplinary reasons and in the health clinic.
Acts as a resource for Principal, teachers, parent volunteers, other office staff, Paraprofessionals, and students by answering questions and fulfilling requests.
