The School District of Clayton is seeking a department assistant for Clayton High School for the 2025-2026 school year. The Department Assistant provides direct assistance to faculty and staff through administrative duties including budget tracking, inventory management, purchasing, and copying services, while providing technical support to students through inventory tracking, fines management, and equipment and supply.
REPORTS TO: Building Administrator
EXAMPLES OF WORK PERFORMED:
- Assists with faculty copies by collecting requested documents both digitally and physically, completing copies for numerous departments, and reviewing information to ensure materials are fulfilled to the teacher’s specifications and standards.
- Manages inventory through textbook distribution and collection, reviewing information for titles, copies needed, and date required, scheduling distribution, gathering textbooks and checking them out through Destiny system according to teacher’s class roster, and distributing textbooks to allotted classrooms on time.
- Manages budget, including creating and sharing budgets for each ASN with each department head, entering relevant purchases in corresponding budgets, keeping a running total of budget available, reconciling budget against incoming reports, troubleshooting any discrepancies against Keynet, and contacting the Finance Department for any remaining issues.
- Manages purchasing by executing procurement forms, reimbursements, and software adoptions for any requested materials from participating vendors, ordering classroom supplies for the building, and delivering individual classroom requests for equipment.
- Manages office supplies by tracking levels of current office supplies, purchasing and stocking supplies when needed, managing student supplies inventory, rental forms, and payment, and distributing and monitoring the return of student supplies.
- Manages designs for performing arts, including creating programs for upcoming events through the use of Adobe or Canva, communicating with heads of departments to finalize layouts, and completing print shop orders and deliveries well in advance of performances.
- Assists with other duties as assigned.
REQUIRED QUALIFICATIONS – Required qualifications to effectively perform job. An equivalent combination of education, training, and experience will be considered.
- An associate's Degree in Management, Business, Computer Science, Communication, or related field is required.
- At least 2 years of experience is required.
KNOWLEDGE, SKILLS, AND ABILITIES – May be representative, but not all-inclusive, of those knowledge, skills, and abilities commonly associated with the job.
- Requires demonstrated experience with Adobe Creative Suite, Canva and Google Suite.
- Requires strong organizational skills.
- Requires experience with managerial accounting.
- Requires ability to read and interpret correspondence, reports, and legal documents for administrative purposes.
- Requires effective written and verbal communication skills.
- Requires ability to operate standard office and classroom equipment.
Education Requirements: High school diploma or equivalent
Certification: None
Experience: 1 -3 years in a similar assignment preferred
Compensation: $18.60 - $26.04
