Position Summary

WSH Management is currently recruiting for a part time Office Assistant for a 65-unit affordable apartment community located in Fullerton, CA. The Office Assistant will assist the property staff with office operations. Responsibilities include: receiving phone calls, greeting visitors, securing resident signatures, assisting with lease transactions, and maintaining resident files in compliance order. Must be a team player, able to multitask, possess a positive attitude, and present professionally under all circumstances.

Office Assistant Job Duties:


Reports to: Property Manager

  • $23 to $24 per hour, commensurate with experience

  • Schedule: Monday to Friday 8am -1pm on property at Pointe Common Apartments

Office Assistant Job Duties:

  • Assist Property Staff with office operations for the apartment community

  • Receive and respond to phone calls and in-person visits

  • Greet and qualify prospects using guest cards and appropriate questions

  • Record all prospect interactions promptly

  • Demonstrate units and community features

  • Guide prospects through application process and secure deposits per company procedures and Fair Housing requirements

  • Secure signatures on paperwork prior to move-in

  • Conduct new resident orientation

  • Represent the company professionally at all times

  • Operate computers with accounting software to store and analyze information

  • Understand lease agreements and applications

  • Comply with all federal, state, and company policies and procedures

  • Use 10-key, copier, fax, and other office equipment as needed

  • Assist in lease transactions including typing leases and gathering applicant information

  • Help maintain compliance with Affordable Housing programs

  • Provide general clerical support to the office

  • Enforce community policies

  • Assist with placement and upkeep of signs, banners, and other marketing materials

  • Distribute newsletters and flyers

  • Assist with market surveys and competitive community shops

  • Report and ensure correction of unsafe conditions

  • Check and respond to all emails within 24 hours

  • Other duties as assigned to support the success of the property and team

Office Assistant Qualifications/Preferred Experience:

  • Must pass background and drug screening (a conviction does not automatically disqualify you)

  • High School Diploma or equivalent required; some college preferred

  • Minimum one year of customer service or apartment leasing experience preferred, or a combination of accounting education and customer service experience

  • Strong attention to detail and sales ability

  • Ability to support and contribute to the community team

  • Strong written and verbal communication skills in English

  • Proficiency in Microsoft Word, Excel, Outlook, and property management software

  • Professional appearance and demeanor at all times

  • Must have valid Driver’s License, reliable transportation, and current auto insurance (position may require driving)

  • Flexible schedule availability

  • Must comply with the employee handbook and demonstrate ability to resolve resident concerns professionally

  • Participate in training to remain compliant with applicable laws
