The American College of Physicians (ACP) is looking for a collaborative and highly organized Administrative Coordinator to join the Medical Education department. ACP, a national organization of internists with headquarters in Philadelphia, is the largest medical specialty organization and the second-largest physician group in the United States with more than 161,000 members worldwide. This is a full-time hybrid position with 2 days in-office per week required.
The Administrative Coordinator will play an essential role in supporting the work of the Medical Education department, reporting directly to the Executive Assistant. Specific responsibilities include but are not limited to:
- Processes and tracks invoices and staff expense forms; reconciles ACP credit card charges with finance as appropriate.
- Processes and logs IM Faculty reimbursement forms.
- Facilitates onboarding of ACP MKSAP and IM-ITE committee members, including delivery of preliminary communications and signing of letters of agreement.
- Assists Executive Assistant in committee meeting planning, including scheduling, committee communications, agenda book creation, and on-site meeting planning and support.
- Participates in facilitating IM-ITE special accommodations process.
- Assists Executive Assistant with tracking governance resolution status and maintaining a historical resolution repository.
- Provides administrative support to events team in facilitating yearly Internal Medicine Meeting activities as assigned.
- Assists Business Manager with budgetary administrative support tasks as assigned.
- Conducts ACP MKSAP permission acquisition and processing as assigned.
Qualifications:
- Bachelor's degree or equivalent work-related experience required, preferably in medical education or a membership organization/association.
- Good oral and written communication skills required to interact with all levels of College staff, customers, and external stakeholders.
- Advanced computer software skills required, particularly in Word, Excel, PowerPoint, Acrobat, MS Outlook, Teams, and other networked-based software applications.
- Ability to accurately schedule appointments and meetings in Outlook, across time zones, with internal and external participants.
- Thrives in a fast paced, deadline driven environment.
- Experience with drafting meeting minutes. (Preferred)
- Experience with reimbursements and reconciliations. (Preferred)
