Whatcom County is seeking a highly organized and detail-oriented professional to support the Whatcom County Executive's Office and Administrative Services Department. This position coordinates high-level administrative and financial functions, playing a vital role in budgeting, policy development, contract management, and special projects.  The ideal candidate will have exceptional organizational skills, strong fiscal and budgetary expertise, a commitment to accuracy, and a collaborative approach to achieving results and will represent the County with professionalism and a strong commitment to customer service.

Essential Duties include:

  • Organizes, plans, coordinates, implements and facilitates projects, plans and work on behalf of and at the direction of the Deputy Executives and Director of Administrative Services to accomplish the work, mission and goals of Administrative Services and the County Executive’s Office.  

  • Serves as the lead fiscal staff for the Executive and Non-Departmental budgets, including preparation and monitoring, interfund transfers, revenue tracking, and budget supplementals. Oversees or prepares and processes department payroll, purchase requisitions, payment vouchers, billings and other financial and budgetary paperwork, as assigned. Assists with grant accounting and compliance.

  • Coordinates tasks and processes related to preparation of department and county-wide budget and department- and county-wide projects and programs.  Serves as a conduit to facilitate required processes, forms, budget supplementals, Executive signature items and agenda items.

  • Prepares and reviews confidential correspondence, reports, and sensitive materials for Deputy Executives and other management staff as required.  Relays sensitive information to staff, elected officials and the public as assigned. Performs tasks related to confidential personnel functions.

  • Assists the Administrative Services Directors by coordinating assigned special projects.  Independently researches, compiles and reconciles complex financial accounting and budget activities. Collects, researches, verifies, enters, updates and retrieves computer data and assists with providing fiscal data, projections analysis and recommendations. 

  • Assists with the maintenance and creation of Whatcom County administrative policies. Assists with preparation of Executive Orders, Resolutions, and Ordinances as assigned.

  • Prepares, negotiates, and monitors complex capital and services contracts on behalf of the Executive’s Office. Supports the programmatic work program of the office, including grant and Executive Office and non-departmental budgets.

Minimum Qualifications

Requires a Bachelor’s degree AND 4 years of progressively responsible related experience including at least 2 years of budgeting/fiscal and  project coordination experience.

At its sole discretion, Whatcom County may consider combinations of education, experience, certifications, and training in lieu of specifically required qualifications contained herein.

Other Qualifications

Salary Range:  Unrepresented Range 7: $6,239 - $9,059 monthly
Hiring rate depends on qualifications.
