Position Purpose:

Coordinate bookings and operations for Children’s Education field trips to the Garden. Communicate with schools and teachers to schedule visits, provide administrative support for scheduling, booking, and staffing all school programs. Engage with and lead field trips with students PreK-12th grade and their teachers/chaperones. 


Essential Duties


Administration

  • Coordinate all field trip booking needs including teacher communications, answering booking and visit questions, scheduling and booking spaces, providing tickets and taking payment.
  • Scheduling volunteers and staff to fill field trip needs and filling in to facilitate field trip groups. 
  • Coordinate daily program logistics including supply inventory, day of field trip communications, and inner-Garden communications. 

Collaboration

  • Participate in team meetings and training. 
  • Schedule, train and communicate with field trip volunteers. 
  • Build relationships with teachers, school districts and youth organizations. 
  • Work collaboratively with the Children’s Education Supervisor and Manager for scheduling, training and staffing. 
  • Work collaboratively with other garden departments to ensure program excellence achieved at all levels while promoting and implementing the mission, values, and philosophy of the Desert Botanical Garden.

Engagement

  • Assist with field trip greeting, leading guided field trips when needed and being active on the trails during field trip hours.
  • Implement program evaluation with students and teachers.
  • Provide a positive, inclusive and fun environment for all students and visitors on field trips and outreach programs.
  • Maintain open and frequent communication with teachers, administrators and other entities involved with the field trip programs. 

Hourly Pay Rate - $21.00/Hr

  • Associate’s degree or equivalent experience
  • Demonstrated skills in customer service and communication
  • Possess an optimistic, open-minded attitude
  • Flexible in a wide range of situations
  • Demonstrate group engagement and management capabilities
  • Ability to investigate billing, refund and payment processes and challenges
  • Demonstrated ability in word processing, data entry and ticketing software

Equipment Used

Typical office equipment. Program booking utilizes Microsoft forms and Microsoft office products. Ticketure for ticket sales platform. Tripleseat for room reservations. 


Internal Communication

Frequent communication with Garden departments, employees and volunteers.


External Communication

Frequent communication with administrators, teachers, parents, schools, districts and youth organizations. 


Working Conditions

No physical effort beyond what’s typically required in a normal office environment. Potential for tight deadlines or time periods of high workload may require additional hours. The noise level in the work environment is usually minimal. This role may occasionally require outside work.


Must be able to walk, sit, stand, stoop, kneel, bend, see, hear, speak, read, and type. Manual dexterity and the ability to lift up to 10 pounds required. Some of this role will be outdoors and subject to extreme weather.
