SUMMARY

In this fast-paced office role, you will contribute your administrative talents for functions such as corresponding with customers, organizing and maintaining paper and electronic files, inputting information into systems, or providing information to callers. 

  1. Verify customer and order information for correctness, checking it against previously obtained information as necessary. Follow up with customers if needed.
  2. Receive and respond appropriately to customer inquiries; forward as necessary. 
  3. Review orders for completeness according to reporting procedures and forward incomplete orders for further processing. Assist with other tasks such as reviewing, keying in, and scanning sales orders.
  4. Occasionally answers telephones and gives information to callers, takes message, transfers calls  
  5. Inform customers (by mail, telephone, email) of order information, such as unit prices, shipping dates, and any anticipated delays. 
  6. Obtain customers' names, addresses, and billing information, product numbers, and specifications of items to be purchased, and enter this information in computer system.
  7. Use computers for various applications, such as database management in multiple systems, websites and word processing. 
  8. Input corrections to shipped orders and tracking numbers for shipped orders. 
  9. Work as a team with co-workers to be flexible in covering all duties.
  10. Complies with and adheres to applicable ISO standards, safety, and work rules and requirements.
  11. Performs other duties as assigned.

 

PHYSICAL REQUIREMENTS

  • Work primarily in office setting, must be able to work at a desk for long periods throughout the day, sitting or standing
  • Demonstrates proficiency in oral comprehension and expression
  • Able to see at close range and work at a computer for the majority of the work day
  • Operate office equipment, such as fax machines, copiers, and phone systems
  • Ability to lift up to 20 pounds

 

REQUIRED EDUCATION, EXPERIENCE and QUALIFICATIONS

  • High school diploma or equivalent required
  • Experience providing exceptional customer service, including ability to anticipate needs and perform service recovery 
  • Some administrative experience preferred; customer service and / or shipping experience a bonus
  • Demonstrated aptitude for the essential functions of the job
  • Excellent interpersonal skills and proven ability to work well with all levels of management and staff
  • Proficient with Microsoft Office suite
