Capstone Hospice is seeking a dedicated and empathetic Hospice Volunteer Coordinator to join the dedicated volunteer team.  The Volunteer Coordinator is responsible for the recruitment, training, placement, supervision and documentation of hospice volunteers who provide support to patients, families and staff.   This position ensures that all volunteer activities are compliant with federal, state, and local regulations, as well as internal hospice policies and procedures.  


This position will require someone that is passionate about supporting individuals and families at the end of life through meaningful volunteer engagement across the Capstone Hospice service area.  This is a full-time position requiring in-office attendance as well as field attendance. 


This position requires the following skills and qualifications to be considered:

  1. Bachelor's degree (preferred)
  2. Prefer experience in volunteer coordination, healthcare, or related field
  3. Proficiency in Microsoft Office, electronic data management and EHR systems.
  4. Reliable transportation, valid driver's license and auto insurance.

Requirements

Essential functions of the position:

  

Recruitment & Outreach

  • Develop and implement strategies to recruit a diverse, compassionate volunteer base across the service territory.
  • Build and maintain relationships with community organizations, schools, religious institutions, and other potential referral sources to promote volunteer opportunities.

Training & Onboarding

  • Facilitate comprehensive volunteer orientation and training in hospice philosophy, confidentiality, safety, and patient/family care.
  • Ensure all regulatory requirements are met, including background checks, TB testing, and other screenings.
  • Maintain a complete personnel file for each volunteer, including documentation of required training, screenings, certifications, and compliance updates.

Scheduling & Supervision

  • Match volunteers to assignments based on patient and family needs, volunteer skills and preferences, and geographical location.
  • Provide ongoing support, mentorship, and performance evaluations for all volunteers to ensure quality service and engagement.

Documentation & Compliance

  • Accurately document all volunteer activity, including patient visits, missed visits, administrative hours, and non-direct support time, in the Electronic Medical Record (EMR).
  • Provide timely updates on volunteer involvement for each patient for IDG meetings.
  • Ensure documentation meets Medicare/Medicaid and accreditation requirements.

Program Development

  • Regularly assess the effectiveness of the volunteer program and implement improvements as needed.
  • Maintain accurate records and reports for audits and regulatory compliance.

Communication & Collaboration

  • Serve as the liaison between volunteers and hospice staff, ensuring strong communication and smooth integration of volunteer services into the care plan.
  • Participate in interdisciplinary team (IDG) meetings as needed.
  • Plan, promote and execute quarterly service project for staff participation.

Recognition & Retention

  • Plan and coordinate volunteer appreciation events and other recognition initiatives.
  • Offer emotional support, feedback and guidance to volunteers.

  • Supervised by: Director of Psychosocial Services
  • Workers Supervised: Volunteers
  • Interrelationships: Patients, Families and Interdisciplinary Group (IDG)

PHYSICAL REQUIREMENTS:

  • Ability to life up to 20 pounds. 
  • Sitting 4 - 8 hours/day
  • Bending, stooping, squatting and/or twisting Occasionally
  • Position requires close work; finger dexterity; adequate hearing and vision (with or without correction). May occasionally work longer than 8 hours/day.

MENTAL REQUIREMENTS: 

  • Ability to work independently and make informed judgements. 
  • Must be flexible, empathetic, and possess excellent interpersonal skills.
  • Able to manage emotional stress and demonstrate resilience in challenging situations. 


WORKING CONDITIONS: 

  • Exposure to odors, blood, body fluids, and other environmental factors. 
  • Volunteer-related patient visits may occur in diverse settings including private homes, assisted living facilities, memory care units and skilled nursing facilities.
