JOB TITLE:                    Administrative Assistant to the Director of Human Resources and School Accreditation

 

 

BASE REQUIREMENTS:

  • High school graduate
  • Completion of college credit hours in office, business, or a related field (Associate’s Degree preferred)
  • Human Resources experience preferred
  • Successful completion of district background check
  • Computer literacy and proficiency with digital platforms such as: Google, Excel, Word, Adobe, PDF, etc. is essential
  • Effective communicator (both orally and in writing)
  • Self-motivated to work with minimal supervision when necessary
  • Outstanding interpersonal, communication, and public relation skills
  • Exceptional time management and organizational skills

REPORTS TO: Director of Human Resources and School Accreditation

 

RECEIVES GUIDANCE FROM: Director of Human Resources and School Accreditation

 

JOB GOAL:   Assists with the daily administrative and HR duties of the school district. This position supports the Human Resources Director with employee recruitment, record maintenance, personnel processing, substitute management, and the implementation and maintenance of a variety of HR related digital platforms.

 

TERMS OF EMPLOYMENT: Eight hours/day; twelve months

 

EVALUATION: Evaluated annually in accordance with the provisions of the district’s Personnel Evaluation Policy

 

ESSENTIAL DUTIES:

  • Consistent and punctual “on site” attendance at the work site
  • Provide support for policy and procedure development
  • Able to maintain strict confidentiality of sensitive information in accordance with HIPAA regulations
  • Execute general office procedures
  • Knowledgeable on all district Human Resources forms, policies, and protocols
  • Record/process certified and classified resignations/retirements, advertise /post vacancies when approved, monitor applications, process new hires/contracts
  • Conduct and process criminal history and motor vehicle background checks
  • Maintain accurate records on all employees, applicants, and substitutes
  • Compile data and submit accurate state/federal reports (i.e., NSSRS, Consolidated Data Collection, Non-Certified Staff Report, Nebraska Teacher Vacancy Survey, EEO-5, etc.)
  • Maintain Human Resources information on district website
  • Update and publish staff handbooks as needed (Certified Staff, Classified Staff, Substitute , etc.)
  • Prepare materials for workshops (i.e., pre-opening, substitute teachers / paras, etc.)
  • Process paperwork for substitute teachers and substitute paraprofessionals and secretaries
  • Process paperwork and assist in the placement of clinical/practicum students and student teachers
  • Prepare materials for recruiting
  • Perform duties associated with the NPS Award for Excellence
  • Prepare purchase orders/requisitions; monitor Director’s budget
  • Submit and maintain records of workers' compensation claims
  • Maintain district-wide digital staff evaluation system
  • Maintain and update district-wide digital substitute management system
  • Place and monitor full time substitute assignments
  • Provide training and staff support on the district digital platforms to incoming staff and administrators
  • Provide training and support on the district substitute management digital platform to incoming staff, administrators, and substitutes
  • Willingness to work flexible hours as needed to maintain efficient programming and meet assigned deadlines
  • Assist with public relations by preparing and proofreading materials before publication
  • Assist with district Accreditation process: perform duties associated with AdvancED /Nebraska Frameworks as needed
  • Other duties as assigned
