Title: Donor Services Coordinator 

Position Type: Regular Full-time 40hr/wk. OR Part-time 20/wk. 

Positions Open:

Salary: $18.54 - $20.66

Schedule:  

Full-time: Monday-Friday 8:00 a.m. – 4:30 p.m.  

Part-time: Monday – Friday 9:00 a.m. – 1:00 p.m. OR 12:00 p.m. – 4:00 p.m. 


Summary Role: The Donor Services Coordinator is responsible for implementing a wide range of donor services including accepting and acknowledging donations, responding to donor inquires and entering and auditing data within the Raiser’s Edge database. Ensures the highest level of customer service to donors and prospective donors.

Some of your responsibilities as the Donor Services Coordinator will include: 

  • Records and processes gift information efficiently and accurately to ensure prompt gift acknowledgement. 
  • Supports the overall success of the Development Team by recording accurate donor and gift information for record keeping, decision making, strategy and analysis. 
  • Provides high level customer service to all donor inquires and requests. 

**This position has no direct supervisory responsibilities 

Records and processes gift information efficiently and accurately to ensure prompt gift acknowledgement. 

  • Processes and codes daily donations, which includes the daily deposit and the gift entry into the Raiser’s Edge donor database.  
  • Performs regular audits of donations and ensures acknowledgments are generated within 48 hours of receipt.  
  • Processes credit card and direct debit donations twice a month.  
  • Manages the acknowledgement of memorial and honorarium gifts.  
  • Communicates with and provides needed information to the Front Desk staff and Finance staff as partners in the gift process. 
  • Assists with and generates routine donor communications such as gift acknowledgements, thank you cards and calls, and giving statements.  
  • Makes donor thank you calls by phone and handwrites donor thank you cards.  

Supports the overall success of the Development Team by recording accurate donor and gift information for record keeping, decision making, strategy and analysis. 

  • As part of the gift entry process, updates donor information in the donor database, including address updates, constituent codes and deceased constituents.  
  • Ensures utmost accuracy and consistency of data entry. 
  • Works with Donor Engagement Coordinator to track and order mailing supplies, including letterhead, cards, envelopes and postage.  
  • Has an overall understanding of the Food Share database and how records are stored and maintained.  
  • Works with the Donor and Data Services Manager to help identify data cleanup projects and improved processes.  

Provides specific gift and donor information to Development staff as needed. 

  • Responds in a timely manner to all donor inquiries regarding gifts, gift receipts and updates. Follows up with donors as needed, to ensure accurate gift entry and record updates. 
  • Provides general support to the Development Team and the organization. 
  • Assists with Development projects as job duties allow. 
  • Acts as front desk back up, as needed. 
  • Acts as back-up to the Board and Executive Support Coordinator, as needed. 
  • Provides occasional administrative support to the VP of Development.

All candidates will need:  

  1. Two (2) or more years of data entry or clerical experience in a business setting involving the processing of financial documents or performing bookkeeping functions 
  2. High school diploma or GED. 
  3. Experience identifying and safeguarding confidential information and materials. 
  4. Intermediate skills in Microsoft Office Suite. 
  5. Prior experience in Raiser’s Edge or a similar fundraising database is preferred. 
  6. Prior customer service experience preferred. 
  7. Must pass pre-employment drug screen (excluding THC) and full background check.

Job Conditions: 

Work is performed in a variety of office environments and other locations inside and outside of the Food Share while using a telephone and sitting at a computer screen for extended periods. May lift, move and carry objects up to 40 pounds, such as boxes containing materials and other supplies. Will drive a personal or company vehicle to run errands. Will work or travel out of the local area and work outside normal working hours, such as evenings and weekends on occasion.   
 

Hybrid/remote/onsite requirements:  

This position requires onsite work hours to support Organizational needs. Limited remote work may be available with previous supervisors’ approval. 


The Food Share provides essential services to our neighbors in Marion and Polk counties. As a result, all Food Share employees may be asked to report to work during local public health, weather, or other environmental emergencies.
