The Office Development Lease Administrator has the primary duty of coordinating all rent payments, leasing duties, reporting, budgeting, for all Tradesmen offices, with secondary duties of assisting with facilities maintenance, new office construction, remodel, relocation, and closing duties for all Tradesmen International field offices. In doing so, the Office Development Lease Administrator will need to exercise discretion, independent judgment, and protect Tradesmen International’s best interests.
Duties & Responsibilities:
Lease Administration
Tracks and ensures the timely payment of rent for all sites
Validates responsibility per the lease agreement
Adjusts rents payments based on lease language
Stays ahead of milestone dates, like expirations and makes first contact on renewals
Budgets for rent, CAM, and all lease-related office expenses
Acts as liaison between broker and Office Dev department
Initiates and orchestrates all lease renewals and office relocations. Travels to sites to oversee moves and closures
Set up all necessary utilities and trash. Ensure meter numbers, account numbers, and contact information for each service is logged
Prepares and maintains trackers, presentations and reporting for rent and project status
Maintain accurate list of landlord contacts and facilities responsibilities per the lease
Manage “Lease” inbox and handle any requests for COI’s or other documentation from landlords
Other tasks as assigned
New Offices, Relocations, and Renovations
Cross-train on facilities tasks and be able to dispatch and close out tickets as assigned
Work with property management, landlords, and general contractors to keep project on schedule
Validate that permits, zoning and occupancy requirements are met
Follow through on punch-list items until completed
Travel to project sites to ensure projects are on target. Provide photos, verify dimensions and update timelines
Furniture ordering, delivery, installation, deposits, and final billing
Follow up with offices that are due to close to ensure they are left in the condition stated in the lease. Report any repair or service needs to the Director of Office Development.

Candidate Qualifications / Requirements:
Proficient in Microsoft Office
Ability to communicate well both verbally and written
Ability to multi-task and manage multiple projects at once
Responsive, reliable and dependable
Good problem-solving skills and the ability to provide solutions to problems as they arise
Available to travel 25% as needed
Proficient at reading and interpreting leases, negotiation, and working with brokerages, landlords, and property managers
Bachelor’s in Business or similar field or commensurate experience
3-5 years of experience in facilities maintenance and/or construction coordination
Reliable transportation
