With support from other members of the property management team, the Senior Property Manager will provide operational and fiscal management of the property in accordance with owner requirements and as outlined in the Property Management Agreement while complying with established Company objectives and applicable law. The following duties may be performed personally or through delegation to property staff.
Responsibilities:
- Be thoroughly knowledgeable of Hospitality at Work’s policies, procedures and programs and communicate these issues to on-site staff to ensure quality standards are achieved.
- Ensure that the on-site team (H@W and 3rd party vendors) is working cohesively and being responsive to tenants’ needs. Demonstrate leadership in team building and management.
- Perform (new and) renewal leasing function for the property, understand local market/submarket, interact with local brokerage community, and market the building in the assigned market area.
- Develop and implement operational plans and action plans that will achieve or surpass cash flow objectives and maximize the asset value of the property while complying with established company objectives and applicable law.
- Ensure that properties are maintained in a first-class condition, including performing, at a minimum, weekly site inspections, following up on maintenance or capital improvement projects, ensuring vacant spaces are in top condition for potential tenants/brokers, and ensuring satisfactory function and appearance of the property.
- Prepare and/or review monthly/quarterly operating reports, capital reforecasts and other financial reports.
Personally or through delegation through subordinate(s):
- Successfully implement the business plan including operational/client goals, budgets and cash flow objectives.
- Develop and implement cost control procedures to ensure that operating costs are within budget guidelines.
- Create a positive, customer-service focused environment for client, tenants and staff. Implement and achieve Company customer service program target goals related to the annual Kingsley Customer Service Survey, if applicable.
- Respond via telephone or, if necessary, in person to after-hours emergencies. Retain ultimate responsibility for the successful and timely resolution of all after-hours emergencies. Ensure tenant adherence to property rules and regulations while maintaining a customer service approach.
- Review and monitor service requests to ensure prompt and accurate handling of work. Ensure cleaning, security, parking and engineering performance is in accordance with Company policy and procedures and contracted requirements.
- Develop and/or maintain/update as necessary, property site rules and regulations, building standards, tenant handbook, stacking plans, rent roll, security procedures, emergency preparedness programs, insurance and tenant information.
- Vendor management responsibilities include annual review of all contracts and bidding in accordance with client requirements, Company policies and guidelines.
- Create operating Budget in Yardi, review annual operating expense tenant billing and reconciliation in Yardi, enter all miscellaneous charges, reconciliations and escalations, monitor all receivables to ensure prompt collection of outstanding amounts, and review vendor invoices and payment via Yardi Payscan.
- Contract/coordinate/oversee all tenant improvements, major R&M work and capital improvement plans, bids, contracts, work and associated budgets.
- Implement and manage portfolio wide special initiatives and projects, as directed by H@W leadership.
- Bachelor’s degree from four-year college or university with 5 – 7 years of directly applicable industry experience; course experience or certifications in CPM, RPA, CSM preferred. Equivalent combination of education and experience in lieu of four-year college degree will be considered.
- Current California real estate sales license required.
- Prior supervisory and team management experience required.
- Experience in an institutionally managed building or managing a building over 200,000 square feet is preferred.
- Must be service-oriented and able to interact and clearly communicate with all levels of individuals and groups of people both orally and in writing.
- Planning and organization skills, with excellent attention to detail.
- A strong understanding of financial accounting principles and the ability to analyze and interpret lease agreements are necessary.
- Ability to write reports, business correspondence and procedural manuals.
- Ability to accomplish directives with minimal supervision; must show consistent follow-through.
- Proficiency with Microsoft Word, Excel and Outlook required.
- Experience with Yardi accounting system is preferred.
Compensation: $120,000 - $130,000 annually, plus annual bonus eligibility.
