The Executive Assistant II is responsible for standard, diverse, and confidential administrative duties requiring broad and comprehensive experience, skill, and knowledge of organization policies and practices. The position provides support to Training and Brokerage directors who have responsibility over a major function or segment of the business.

Responsibilities

  • Prepare memoranda, correspondence, meeting minutes and records, and reports; assist with coordination and preparation of and distribution of materials as appropriate. Update and maintain manuals and guidebooks specific to departmental operations and policy.
  • Answer telephone and take messages and direct calls; greet and direct visitors, resolve routine and complex inquiries.
  • Maintain appointment calendars; make travel arrangements. Open and distribute mail.
  • Copy material and maintain files and lists of equipment and/or personnel.
  • Work under minimal supervision and assist in orientation and training of new employees.
  • May utilize the assistance of another Secretary on a project basis.
  • May serve as administrative liaison with others inside and outside the Company concerning such issues as purchasing, facilities, operations, and the like.
  • Other duties and responsibilities as assigned.
  • Regular and predictable attendance required.
  • Create, maintain, and update agent appointment information/records on a daily basis.
  • Update and maintain agency client database through proprietary system and process on a daily/weekly basis.

Requirements

  • High School Diploma required.
  • Supplemented by additional vocational, technical, or business school training preferred.
  • Experience may be substituted for business school certificate required.
  • Minimum of 2 years general secretarial duties with some administrative responsibilities required.

 Skills and Abilities

  • Strong verbal communication and listening skills.
  • Proficient in English written and verbal communication skills.
  • Demonstrated ability to maintain confidential information.
  • Excellent organizational skills.
  • Proficient Computer Skills is a plus (Office 365, Outlook, Word, Excel, PowerPoint).
  • 50 WPM typing skills.
