POSITION TITLE: Sales Support Admin
REPORTS TO: VP of Sales
Scaffold Resource has been a fixture and steady force in the Mid-Atlantic region’s scaffold and vertical access industry for more than two decades. Created in 1998, Scaffold Resource has grown in its ability to provide a vast array of vertical access services. It has successfully accomplished this task while expanding its customer base and project capabilities to meet the demands of every conceivable challenge it has been contracted to complete.
OVERVIEW:
This position reports directly to the VP of Sales and is responsible for providing dedicated support to the Senior Account Executives in various capacities. This role requires frequent interaction with Senior and Junior Account Executives to ensure successful and profitable project acquisition and execution. This position is critical to ensuring the efficiency and effectiveness of the sales process by managing administrative tasks, coordinating with clients, and internal teams, and maintaining accurate records. Specific duties and responsibilities include but are not limited to:
DUTIES & RESPONSIBILITES:
- Prepare quotes and proposals based on notes and guidance from the Senior and Junior Sales Executives.
- Management of accurate accounts, information, and pipeline through CRM data entry, modification, and regular updates.
- Organize job files, vendor documentation, safety requirements, contractual obligations and any other project related paperwork.
- Submit schedule requests based on required approved documentation from clients and to internal teams.
- Coordination with operations, estimating, engineering and finance to ensure proper execution.
- Schedule meetings and site visits, confirm appointments, and follow up with clients on behalf of the sales representative.
- Project and engineering coordination with the company’s strategic engineering partner and in-house estimating team.
- Provide admin support during company sales and billing meetings
- Track project required submittals (i.e., Engineered Drawings, Safety Requirements, etc.)
- Track change order requests including submission and quote creation based on Senior Account Executive’s guidance.
- Internal management and transfer of documents required for project start up.
- Track A/R and outstanding invoicing and communicating with sales and finance teams.
- Track leads in conjunction with Business Development team.
- General administrative duties include answering phones, responding to emails, processing various reports and other tasks as required.
QUALIFICATIONS:
- High school diploma or GED required
- College degree preferred, but not required
- At least one (1) years’ experience in a similar type of role in construction preferred, but not required
- Entry level Administration experience a plus, but not required
- Proficiency in Microsoft Office Software and Familiarity with CRM (Salesforce) platform a plus
- Proficiency in verbal and written English required
- High level verbal and written communication skills required
- Ability to multitask in a fast-paced environment
- Strong organizational skills and attention to detail
- Ability to maintain an active state issued driver's license
