GENERAL RESPONSIBILITIES: The Behavioral Health Office Specialist is responsible for managing the BH/SA operational office systems and processes related to client services. This includes client registration and reception, taking phone calls and messages, scheduling clients and coordinating the schedules of multiple providers, managing billing, processing new client information, managing client records, inputting data into the E.H.R. system, managing purchase requisitions and manage office supplies. The Behavioral Health Receptionist must demonstrate professionalism in the workplace.
DUTIES:
1. Provide information regarding Behavioral Health and Substance Abuse services to clients.
2. Schedule appointments and coordinate staff schedules for the Mental Health, AODA and ICW Department including client visits, internal and out-of-office meetings, trainings and PTO.
3. Obtain required current patient information for the medical record and patient registration system.
4. Compile a patient index and update it at every patient visit to include current address, contact information and client’s preferred method of contact. Make reminder contacts with clients per phone call, letter or email. Send correspondence to clients who fail to keep appointments or are not seen regularly. Maintain wait list of clients and make contact with clients to fill cancelled appointments.
5. Make daily schedules, pull pertinent charts and notify therapists when clients arrive.
Update client charts, complete billing sheets and file chart after client visit.
6. Prepare new patient charts and patient consent forms. Assign a client record number. Retrieve old charts, manage client files and maintain confidential case records. File records when closed. Coordinate and implement disposal of records per protocol.
7. Create client database on excel to monitor and alert providers of state-required, scheduled chart-updates.
8. Answer telephone calls, obtain accurate information, direct phone calls to the proper department professional and take messages when necessary.
9. Manage office supplies-complete purchase requests to order supplies, monitor supplies to keep 3-month supply on hand, and follow-up on all purchase requisitions to insure accuracy.
10. Monitor budget line item balances by creating and maintaining data base to record ongoing balances.
11. Manage lending library materials- sign out materials to clients, keep record of materials that are checked out or given to clients and sign in items when returned.
12. Create and process all correspondence via a variety of methods- email, mail, fax etc. Must be able to run all office equipment including fax, printers, and copiers and computer programs while coordinating required maintenance and repairs. Must be able to manage sensitive documents while maintaining the highest standard of confidentiality.
13. Assist department manager with yearly clinic certification process.
14. Organize employee and client forms and be able access a requested form in a timely manner.
15. Monitor and manage department’s physical environment maintaining a clean, tidy and comfortable space for our clients and staff.
16. Must maintain an acceptable departmental attendance record.
17. Must be reliable and prompt when reporting to work.
18. Required to attend job related, in-service, meetings, and training to maintain professional and technical knowledge.
19. Must adhere to tribal law and other applicable laws as well as tribal personnel policies and procedures.
20. May be required to satisfactorily complete an exam or other testing requirement(s) to determine skill proficiency.

QUALIFICATIONS:
1) Must possess High School Diploma or GED equivalent, and must provide verification of it.
2) Completed computer course or be able to demonstrate competency with word processing, data entry, outlook, excel, publisher, office manager, internet, computer filing system and E.H.R. systems.
3) Completed coursework covering medical office management (medical terminology, filing, record keeping, customer relations, telephone skills, general correspondence, appointments, bookkeeping, and patient accounts) or have commensurate job experience.
4) Accurate keyboarding skills of 45-50 words per minute. (Keyboarding test may be given).
5) Must be able to maintain confidentiality.
6) Must possess high degree of oral and written communication skills.
7) Must possess strong organizational skills and be able to prioritize.
8) Must be dependable.
9) Must be able to complete work and problem solve with minimal supervision.
10) Must have ability to work well with others in a spirit of team effort.
11) Must obtain and maintain coverage under the employer’s Employee Dishonesty policy.
12) Must submit and pass a background security check to meet the Elder/Youth License Requirement as it pertains to the position and the location of the department prior to and during the course of employment with the Stockbridge-Munsee Community.
13) Must be willing to attend all applicable training.
14) Must pass pre-employment drug and health screening. Must adhere to the Tribe’s Drug and Alcohol-Free Workplace Policy during the course of employment.
15) Must be eligible for coverage under the employer’s liability insurance.
16) Must have demonstrated ability to maintain satisfactory working record in any prior or current employment.
17) Must be able to meet physical requirements of position.
18) Must abide by departmental and organizational safety, testing, and uniform guidelines.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT
1. This position requires a lot of sitting with occasionally stoop, kneel, crouch, and lift and/or move up to twenty-five (25) pounds.
2. Evening and/or weekend is required. Extended hours and irregular shifts may be required.
3. Work environment requires excellent personal hygiene due to working in close proximity to others and in an enclosed area.
4. A Tuberculosis (TB) Screening and/or TB Skin Test may be required.
