This position is responsible for the lien perfection and insurance tracking to secure the Credit Unions collateral timely and accurately. The primary function of this position includes but is not limited to the following: processing paper and electronic title applications, using multiple software, following standard operating policies and procedures. While a Records Specialist may be assigned to perform one of the primary functions described below, they will also be cross trained to perform secondary duties according to business needs. This is not intended to be an all-inclusive list of job duties and the position will perform other duties as assigned.
Major Duties and Responsibilities
Processes title applications and UCC filings to ensure liens are perfected within 60 days of the loan date and lien releases are processed daily on paid-in-full loans. Records and files daily incoming perfected titles and branch mail needed for title filing. Reconciles deceased accounts timely and ensures accounts are paid according to beneficiary designation, surviving spouse/child, or estate. Although there are exceptions, deceased accounts should be reconciled within 12 months from the Credit Union's knowledge of the member's passing. Regularly reviews/updates department reports to ensure all tasks are followed-up on and complete.
Archives, scans branch records and maintenance of member documents received within 5 business days. Adheres to record retention policy and procedures. Forwards proof of insurance received via mail and email to Allied Solutions, Asset Verifications for SSA and Medicaid benefits.
Processes and maintains borrower claims, insurance claims, GAP/GAP Advantage claims, MBP cancelations/refunds, DPW claims, Debt Protection claims and Allied reports. Processes incoming subpoenas and summons requests within the Credit Union's legal obligation. Research and collects data requested by the court and provides the information within the specified time frame. Invoices for the Credit Union's service when applicable.
Effectively coordinates and processes daily incoming/outgoing mail and notates bad addresses. Serves as a courier to collect post office box mail daily and delivers to local branches when necessary. Attends the front desk, signs in visitors and vendors, and receives deliveries.
Comply with all company policies, procedures, and service standards. Comply with all applicable laws and regulations.

Knowledge and Skills
ExperienceSix months to one year of records experience. Title processing experience preferred. * A college degree will satisfy the requirement for 2 years of experience required.
Education/Certifications/LicensesHigh school degree or GED required.
Interpersonal SkillsA significant level of trust and diplomacy is required to be an effective subject matter expert in the position. Ability to communicate information of a sensitive and/or highly confidential nature is a normal part of the day-to-day experience. Communications can involve motivating, influencing, educating, and/or advising others on matters of significance. Ability to develop and foster strong working relationships with team members and members to ensure we are achieving the overall mission and vision of the credit union. Physical RequirementsIs able to bend, sit, and stand in order to perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing / descending stairs in an emergency situation. Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on a computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable, and timely attendance.
Working ConditionsMust be able to routinely perform work indoors in climate-controlled shared work area with minimal to moderate noise.
Mental and/or Emotional RequirementsMust be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions.
