Maintain existent written data Policies and Procedures and create new ones to ensure data integrity and data cleansing on an ongoing basis.
Serve as the primary liaison between internal Departments (Technology, Business Office, and Admissions) to ensure ongoing communications and smooth interface between Raiser’s Edge and other school data systems.
Design and generate customized queries, reports, and exports, including but not limited to donor and grant reports, endowed fund reports, Annual Giving, Capital, and special project reports, solicitation lists, mailing and invitation lists.
Provide advancement colleagues with the reports and tools they need to ensure accurate and actionable information for donors and prospects.Monitor and maintain integrity of data by proactively running queries / reports, identifying the root of the problem, and then resolving through further staff training, database administrative functions, or discussions with staff outside of Advancement.
Ensure that data enrichment services are being utilized
Manage 1.5 staff members - Gift Processing Coordinator and Raiser’s Edge Data Specialist
Collaborate and supervise the work of the Gift Processing Coordinator in the areas of Gift Processing & Management, Stewardship & Donor Relations, Business Office Partnerships & Audit Process, Events Invitation & Tracking, and Technology Systems employment and operations.
Collaborate and supervise the work of a part time RE Data Specialist in the areas of database updates, including donor information, processing returned mail, and correcting records. They also assist with data updates for special events, and provide occasional support for events.
Perform due diligence when contracting third parties, and manage all contracts, to include Consultants and their work follow-up and timelines.
Oversee the generation of all listings for the Annual Report and its mailing list.
Provide a wide array of complex and intricate analytical reports in support of advancement-related activities. Coordinate and fulfill all departmental data requests, including donor analysis, mailing lists, and financial reporting.
Manage and execute all routine data reporting for the Board of Trustees and for annual fundraising efforts.
Create and distribute Development reports on a regular basis - weekly, monthly, as needed, etc.
Add and maintain Fund and Appeal records. This includes coding of LALoyal Funds, linking of appeals to appropriate Campaigns and Funds to smooth gift entry, and coding to ensure that reports run correctly. This also includes management of Endowed Fund contacts.
Stay involved in the advancement services community (Raiser's Edge, GiveCampus). Attend conferences, user groups, webinars, roadmap sessions, etc. that will will help understand upgrades and changes to the system
Ensure that relevant data, that does not flow to the system automatically, is added. For example, feeder school for incoming students, college for graduating students, student financial assistance assignments, adding the student ID in Raiser’s Edge.
Keep track of database issues, such as login troubles, or latency with the system, and report to Blackbaud and Loyola’s CIO as necessary.
Bachelor's degree preferred, or minimum 5 years of equivalent experience
Independent management of time is required while both coordinating with and reporting to the Vice President of Advancement regarding assignments, questions and feedback
Ability to create and generate complex reports
High level of proficiency with Raiser’s Edge administrative functions such as imports, global changes, global adds and global deletes, as well as configuration settings
High level of proficiency with Microsoft Excel the Google Suite and Word
Advanced understanding of fundraising activities

The Director of Advancement Services is responsible for managing and coordinating all aspects of the information systems for the Advancement Office and providing analysis and guidance to these operations as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Director of Advancement Services serves as the Raiser's Edge and GiveCampus database administrator. He/She must be proficient in Blackbaud products and possess knowledge integrating accompanying systems and tools such as GiveCampus, and wealth screening applications. The Director of Advancement Services will be a strong communicator – both written and oral – with experience training team members in data systems. The ideal candidate will be methodical and detail-oriented with excellent time-management skills who can advance multiple projects while meeting deadlines.
