About the Department

This position is responsible for coordinating the Friends of Florence, Arts & Museums membership program, along with other programs and activities, to build relationships with the community and stakeholders. Other job duties include promoting artistic and cultural education, ensuring arts and museum resources are accessible to all audiences, creating graphic designs, providing communication through social media, e-mail, flyers, event schedules, and program announcements. Develop and implement strategies to increase the visibility of the City of Florence, Arts & Museums, and their programs. This position reports to the Director of Arts & Museums.

Position Duties

  1. Coordinate Friends of Florence, Arts & Museums membership program, correspond with members informing them of enrollment dates and dues, and distribute information about member benefits.  
  2. Coordinate FAM programs and events with community members, organizations, and schools.
  3. Oversee the planning and marketing of campaigns for educational programs and events, including collaboration with community organizations and schools.
  4. Utilize and update social media on FAM programs, events, and membership.
  5. Design and create graphical flyers/brochures for programs, events, exhibits, workshops, etc., outlining schedules and locations.
  6. Coordinate with staff to provide a monthly newsletter to include updates about volunteer opportunities.
  7. Create and distribute Friends of FAM press releases.
  8. Coordinate with FAM staff to create, organize, and facilitate fundraising events.
  9. Assist the FAM staff in researching and collecting data from visitors regarding programs and events.
  10. Responsible for record keeping of all memberships, programs, events, and schedules, including supporting documentation.
  11. Other duties may include attending meetings and representing FAM at various locations as required by the Director.


Minimum Qualifications

  1. Bachelor’s Degree in Art, Art History, History, Business, Education, or related field.
  2. Twelve months or more of working experience in program outreach preferred; or, related experience in an office environment with demonstrated substantial public relations duties.
  3. Computer experience, proficiency in Microsoft Office, Word Processing, and Excel.
  4. Experience in database management is helpful.
  5. Experience in planning and organizing events, fundraisers, workshops, etc.
  6. Excellent Attendance Record.
  7. Some evening and weekend schedules may be required during events.
  8. Valid Driver’s License.

Other Qualifications

  1. Must have excellent communication skills, both oral and written, with the ability to clearly articulate, strong interpersonal skills, strong organizational skills, and problem-solving skills.
  2. Must be proficient in the use of a computer, knowledge of Microsoft Office, Google Suite, and Squarespace.  
  3. Must have knowledge of data collection and analysis techniques, and the ability to create an organized recordkeeping system.  
  4. Must have knowledge of social media platforms: Facebook, Instagram, & YouTube.
  5. Must be able to work with diverse groups.
  6. Must have a demonstrated working knowledge of graphic design.
  7. Must be able to promote and organize FAM events, fundraisers, campaigns, etc.
  8. Must be able to complete tasks by established deadlines.
  9. Must be able to maintain an effective working relationship with FAM staff and communicate effectively with the public.
  10. Must have knowledge or the ability to learn FAM and City of Florence rules, regulations, policies, and procedures.
  11. Must be self-motivated and have initiative to promote the FAM.
  12. Must be able to work after hours and on weekends, when required.
Physical Demands (with or without accommodations): 
  1. Must be able to sit for long periods of time.
  2. Must be able to stand, bend, walk, stoop, etc.
  3. Must be able to lift and or move items up to 25 lbs.
  4. Must be able to work in disagreeable weather conditions (hot/cold).
  5. Must be able to work under stressful situations, with close mental/visual concentration.
Supervision:
Employee works independently with minimal supervision.  This position reports directly to the Director, Florence Arts & Museums.

Equipment/Tools Used: 
Computer, Telephone system, Square Reader, Copier, Calculator, Fax, general office equipment, vacuum, broom, mop, and other cleaning products.
