As the Executive Administrator to the Chief Communications Officer and other senior members of our team, you will be a part of our small-but-mighty operations team, ensuring the smooth functioning of our daily activities. Your attention to detail, organizational prowess, and proactive approach will be instrumental in supporting our team's efforts to provide top-notch service to our clients and external stakeholders. From managing day-to-day scheduling and coordinating meetings to bringing creativity and precision to managing events and handling essential operational tasks, your contributions will directly enhance our overall efficiency and effectiveness.
To excel in this role, you will be able to proactively identify and address the needs of senior leaders and demonstrate strong professional judgment to ensure operational workflow runs smoothly.
Key Responsibilities
- Manage complex scheduling and administrative needs, such as coordinating events with and for the firm’s Chief Communications Officer
- Exercise excellent judgment and discretion to advocate on behalf of senior firm management, fostering strong connections with clients and key external stakeholders
- Proactively identify and resolve scheduling conflicts and coordinate daily calendars of senior managers to optimize efficiency
- Drive effective internal communication channels, ensuring swift responses to client and team member needs, thus enhancing overall operational responsiveness
- Overdeliver on assigned tasks by bringing creativity and thoughtfulness, aiming to consistently provide an unparalleled client experience providing
- Approach work with a learning mindset and be open to giving and receiving candid feedback to promote personal and collective growth
- Exceed expectations by going above and beyond assigned duties and demonstrating an unwavering commitment to delivering exceptional results
- Bring a critical eye to work and strive to develop and deliver final products that surpass standards and set new benchmarks
- Readily engage in new projects and enthusiastically extend additional support to the firm’s senior leaders as needed
- Efficiently manage travel arrangements and meticulously compete expense reports to ensure a seamless and well-organized workflow
Preferred Experience
- 5+ years as an Executive Assistant or in a customer/client service role
- Demonstrated interest, commitment and passion for addressing issues of educational opportunity and economic mobility
- Ability to make decisions independently and exercise discretion and confidentiality with sensitive company information
- Excellent organizational skills with an ability to think proactively and prioritize work efficiently
- Experience in event management
- Interest in learning about the communications and PR field, and contributing to the collective success of the firm’s communications practice
- Familiarity with online calendars and cloud systems, including Google Drive and Outlook, and technical fluency to quickly learn and use new software tools or apps (e.g. SmartSheet, software for expense reports, etc.)
- Strong project management skills demonstrating the ability to successfully handle multiple tasks simultaneously
- Outstanding written and verbal communication skills, ensuring clear and effective interaction at all levels
- Experience managing scheduling and administrative tasks, highlighting a strong aptitude for organizational efficiency
- Willingness to acquire new skills with a desire for continuous learning, growth and professional development
