Job Summary:

The Foreclosure Coordinator plays a critical role in advancing loans through the foreclosure process with precision, urgency, and full regulatory compliance. This position is responsible for actively managing foreclosure timelines, ensuring that first legal actions occur within required timeframes, and that loans are progressed efficiently through to sale or conveyance. The coordinator works closely with foreclosure counsel, property preservation vendors, and internal departments to remove holds, address documentation gaps, and resolve any delays that may impact the foreclosure lifecycle.

This role requires strong organizational skills, attention to regulatory and investor guidelines, and the ability to monitor, escalate, and drive resolution on time-sensitive foreclosure milestones. The Foreclosure Coordinator helps protect the organization from curtailments and unnecessary delays by ensuring each property is secured, preserved, and moved to completion as efficiently as possible, in alignment with Essex Mortgage’s pillars of Leadership, Raving Fans, Transparency, and High Performance.

  • Proactively manages tasks and milestones to ensure timely movement through the foreclosure process.
  • Identifies and escalates delays, holds, or exceptions that may jeopardize first legal or sale timelines.
  • Collaborates effectively with internal departments and external counsel to ensure foreclosure actions proceed without avoidable delay.
  • Maintains accurate documentation and system updates to reflect real-time loan status and critical dates.
  • Supports timely completion of property preservation activities, including securing, inspections, and conveyance readiness.
  • Communicates professionally and clearly across vendors and departments to support resolution of title issues, occupancy status, or legal holds.
  • Upholds Essex Mortgage’s pillars of Leadership, Raving Fans, Transparency, and High Performance through consistency, urgency, and ownership of results.

Duties/Responsibilities:

  • Monitor and manage foreclosure timelines to ensure first legal actions occur within investor, regulatory, and company-mandated timeframes.
  • Actively track and move loans through each foreclosure milestone, from referral to attorney through sale or conveyance.
  • Identify and clear holds promptly by working with internal departments, vendors, or legal counsel to resolve issues related to title, occupancy, documentation, or compliance.
  • Coordinate with Property Preservation to ensure timely securing of properties, utility management, and readiness for conveyance or sale.
  • Ensure all applicable foreclosure-related events are documented accurately and timely in the servicing system.
  • Communicate regularly with foreclosure attorneys to validate status, confirm pending actions, and escalate time-sensitive issues.
  • Monitor upcoming sales and post-sale activity, confirming that conveyance or investor transfer occurs without delay.
  • Maintain awareness of state-specific foreclosure timelines, investor requirements, and curtailment risks.
  • Respond to inquiries from internal departments, legal teams, and external vendors regarding foreclosure status and expectations.
  • Review reports and system queues daily to ensure no loans are stalled or past due on critical tasks.
  • Assist with audit responses or documentation needs related to investor, regulatory, or internal review.
  • Perform other duties and projects as assigned to support the Default department’s operational objectives.

Education, Experience and/or Skills:

  • High school diploma or GED required; Associate’s or Bachelor’s degree in Business, Legal Studies, or a related field preferred
  • 2+ years of experience in mortgage servicing, foreclosure, or default operations required
  • Familiarity with foreclosure timelines, first legal requirements, state-specific foreclosure processes, and investor guidelines (FHA, VA, FNMA, FHLMC)
  • Experience working with foreclosure attorneys, property preservation vendors, and internal servicing departments
  • Proficiency in loan servicing systems (FICS or similar), Microsoft Excel, and task management platforms
  • Strong organizational and time management skills with the ability to meet strict deadlines and manage competing priorities
  • Excellent communication and follow-up skills with attention to detail and data accuracy
  • Ability to analyze foreclosure pipeline reports and identify loans requiring escalation or corrective action
  • Knowledge of HUD conveyance rules, curtailment avoidance, and post-sale reconciliation is a plus

Computer and Equipment Skills

  • Intermediate in Microsoft Office programs (Word, Excel, PowerPoint)
  • Word processing (speed and accuracy)
  • MSP or FICS’ Mortgage Servicer a plus

  • Use typical office equipment (computers, fax, phones, copiers, scanners, projectors, etc.)

Physical Requirement:

  • Vision (with or without correction) sufficient to read a computer screen and to operate office equipment
  • Clear speaking voice on the telephone, in person, and recorded
  • Hearing within normal ranges in noise environments typical of office
  • Able to sit for long periods of time at computer or other work-station and in meetings
  • Able to use computers and operate equipment
  • Able to lift 10 pounds occasionally unassisted
