Job Purpose Provides a variety of administrative support functions to enhance Public Works operations. Candidates must be proficient with the use of software applications and have the aptitude to learn new platforms as we incorporate into Public Works operations.
Essential Job Functions/Results
Provides and obtains program, financial and/or personnel related information to and from other departments.
Communicates in order to obtain or transmit routine information, to resolve discrepancies and to handle customer complaints.
Types, files and may release confidential information according to established policy.
Orders and maintains inventory of office supplies.
Completes, prepares and files purchase requisitions, purchase orders and payment vouchers; reconciles discrepancies and questionable charges.
Maintains employee attendance records.
Prepares personnel action forms and payrolls according to appropriate contractual and legal requirements.
Proofreads information for accuracy.
Performs data entry work.
Reviews source documents and related reports for accuracy including account coding; payee/payor information, authorization, and other pertinent information
Updates account information within filing/information system; reconciles errors and reenters information;
Collects, records, balances and deposits revenue according to established procedure; may perform calculations to determine amount collectible or account status.
Composes correspondence to obtain or transmit routine information.
Types/ transcribes edits correspondence, reports, forms and specifications utilizing various typewriters and/or personal computers.
Conducts program registrations.
Accepts applications, verifies information and determines preliminary program eligibility.
Assembles data and performs calculations for reports.
Maintains manual and automated files.
May provide work direction to employees.
Knowledge, Skills, and Abilities
Ability to demonstrate proficiency in software applications to meet departmental requirements.
Ability to compose type and edit final copy.
Knowledge of correct language usage (grammar, spelling, punctuation) sufficient to identify and correct errors.
Knowledge of financial recordkeeping.
Ability to compose correspondence in order to obtain and transmit information.
Ability to compare and perceive differences between two sets of copy.
Ability to determine and search for information required to resolve problems, answer customer inquiries, request for assistance, and complaints.
Ability to prioritize work assignments to meet established deadlines.
Ability to apply/adapt instructions to procedures from one assignment to another.
Ability to simultaneously operate keyboard and transcribing equipment.
Ability to perform data entry work and maintain filing systems.
Ability to perform basic arithmetic calculations with various units of measure manually and/or using equipment.
Ability to interact with employees and the public in a courteous and professional manner.
Required Qualifications High School graduate plus minimum of one year of related experience; or equivalent combination of education and/or experience.
METHOD OF SELECTION Applicants must obtain a passing score of 70% on the Oral Board Examination to be placed on the Eligible List for this position.
