JOB SUMMARY
The Payroll Clerk is responsible for accurately processing and maintaining payroll records for all employees in compliance with company policies, and federal, state, and local regulations. This role ensures that all payroll-related transactions are processed in a timely, accurate, and confidential manner while supporting the overall payroll and HR functions within the food manufacturing environment. This role requires strong attention to detail, confidentiality, and the ability to work under deadlines.
Requirements
PRIMARY RESPONSIBILITIES
- Prepare and process weekly | bi-weekly payroll for all hourly and salaried employees, including production, maintenance, and administrative staff.
- Maintain accurate payroll records, including employee earnings, deductions, and hours worked.
- Process and verify incentive pay, overtime pay, piece-rate pay, or other food manufacturing-specific compensation structures.
- Maintain and update timekeeping system, ensuring accurate data entry and troubleshooting clock or entry errors.
- Communicate with supervisors to resolve discrepancies in timecards and schedules.
- Maintain accurate payroll records and files in accordance with federal and state wage and hour laws and company retention policies.
- Process new hire setups, terminations, pay rate changes, and benefit deductions in payroll system.
- Probes and reports daily for all plant locations
- Enter and download probing reports, cross-checking all daily hours, lunchtimes, overtime, and non-overtime status
- Finalize all payroll, export, and submit to the VP of HR on a weekly basis
- Streamline all vacation requests, ensure timely submission into the HRIS system
- Ensure compliance with wage and hour regulations, including FLSA, state labor laws.
- Prepare payroll reports and summaries for management and auditing purposes.
- Address employee inquiries related to payroll, tax withholdings, and deductions.
- Assist the Finance Department with year-end payroll activities, including W-2 and tax filings.
- Maintain confidentiality of employee records and sensitive information.
- Collaborate with the HR and accounting departments to resolve payroll-related issues.
- Assist HR and Finance teams with related projects, year-end processing, and reconciliations.
- Support leave of absence tracking and payout calculations as required.
QUALIFICATIONS
- Associates Degree in Business Administration, or related field required.
- 2+ years of payroll experience; prior experience in a manufacturing or food production environment preferred.
- Proficiency in payroll software and Microsoft Office Suite, Excel, and Paylocity preferred.
- Strong understanding of payroll regulations and compliance requirements.
- Excellent organizational and problem-solving skills.
- High level of accuracy and attention to detail.
- Ability to handle sensitive information with discretion and confidentiality.
