Athletic Supervisor

JOB SUMMARY 

Under the general direction of the Assistant Parks and Recreation Director, the employee will direct, implement, and supervise the daily operations of athletic services, facilities, and programs for the City’s Parks & Recreation Department. The incumbent will plan, implement, organize, and manage a variety of duties, including but not limited to athletic programming, camps, partnerships, and tournaments. The employee will be responsible for training and supervising all city staff, seasonal, and volunteer staff needed to facilitate athletics for youth and adults. The incumbent will exercise reasonable initiative and independent judgment as to the lead in communicating extensively with the internal and external customers.

• Make recommendations and assist in the preparation of the department budget including personnel, supplies, services, and capital improvements 

• Responsible for the day-to-day budget management of their functional area 

• Assist in recruiting, training, supervising, directing, and evaluating employees, volunteers, instructors, and participants 

• Prioritize job tasks, develop timelines, and complete them within specified times meeting strict deadlines and relating the same to subordinates 

• Enforce City policies and procedures for athletics and park rules for staff, instructors, volunteers, and contracted facility renters as well as enforcement of all safety procedures 

• Maintain accurate records and documents and is responsible for assessment and retention 

• Responsible for preparing reports and disseminating information, conducting debriefings, and giving presentations for internal and external participants 

• Create work schedules for athletic events, facilities, and program coverage and direct subordinates in the specific job duties as well as coordinate with manager the maintenance needs for facility prep and repair 

• Work independently to oversee athletic and aquatic programs and events to include managing the prep and breakdown at facilities, areas for special events, as well as evaluating the effectiveness of the participants and community 

• Stay up to date with industry trends and identify best practices in the profession regarding athletics 

• Network with other individuals, groups, and youth associations to liaison between youth partnerships and city facilities and staff; identify best practices and develop new relationships 

• As the point of contact, manage facility usage agreements, subcontractor agreements, and partnership agreements with youth associations, referees, and stakeholders 

• Ensure safety standards are reviewed and implemented to minimize exposure of injury and damage to persons or property 

• Conducts inspections of parks and athletic fields and facilities to ensure safety and proper conditions are feasible for athletic programs 

• Must adhere to all safety and City procedural requirements while operating a vehicle for City business 

• In partnership with HR, develop, plan, and execute recruitment, hire, and training program for the operation of athletic facilities and programming for the citizens of Brookhaven 

• Supervise part-time and seasonal program staff; assign and review work; conduct in-service training, including CPR and First Aid classes; complete performance evaluations; make recommendations regarding hiring, disciplining, and terminating the employment/contracts; troubleshoots problem situations 

• Plan, schedule, and implement athletic programs and special events to ensure orderly integration throughout the year and maximize program participant health/safety; conduct or provide on-site supervision of programs as required; plan, prepare, and implement program publicity; requisition supplies; organize registration and instructor staffing; performs customer service functions; answers incoming telephone calls; provides assistance and information related to divisional programs, activities, procedures, forms, fees, or other issues. 

• Oversees and coordinates daily athletic facility operations; Evaluate the effectiveness of athletic programs; prepare program reports, as requested 

• Develop recommendations for athletic programs that serve community needs; research athletic needs of the public; analyze related proposals and prepare recommendations for City or department management consideration 

• Inspects athletic facilities to ensure timely preparation for scheduled programs and activities. 

• Identifies daily/routine maintenance needs of facilities and coordinates with Facility Services and Park Maintenance to schedule necessary improvements/repairs. 

• Responds to emergency situations relating to athletic facility operations and activities 

• Communicates with Assistant Parks and Recreation Director, and or designee, other departments, employees, class instructors, coaches, sporting officials, swim teams, athletic organizations, program registrants/participants, parents, vendors, the public, community organizations, outside organizations, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.  

• Works with the Assistant Parks and Recreation Director or designee, to respond to citizen requests for information and complaints with respect to athletic programs, facilities, or personnel; ensure appropriate follow-up action is taken. 

• Perform other related duties as required or assigned 

Qualifications


MINIMUM REQUIREMENTS TO PERFORM WORK:  

Bachelor’s degree from an accredited college or university in Parks and Recreation Administration or closely related field and three (3) years of progressively responsible related experience and/or training; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position.  Must possess and maintain a valid State of Georgia driver’s license upon hire and obtain a Certified Park and Recreation Professional (CPRP) certificate; and CPR/AED Red Cross certificate within twelve (12) months of employment. 

 

KNOWLEDGE, SKILLS, AND ABILITIES:  

  • Considerable knowledge of effective planning, scheduling, and procedures of organized competitive sports, athletic programs; effective public information dissemination 

  • Ability to communicate orally and in writing with staff members and/or supervisors and have working knowledge of appropriate technology to best serve the public and manage registration, teams, and programs. 

  • Strong attention to detail, organizational skills, creative thinking, and knowledge of athletic fields and facilities, including gymnasiums, with a passion for creating high-quality guest experience. 

  • Proficient knowledge of the Microsoft Office Suite program 

  • Ability to understand, follow and complete oral and/or written directions, and relate the same with contracted personnel and internally to other team members. 

  • Ability to multi-task assignments with concurrent deadlines and varying degrees of complexity 

  • Ability to maintain accurate records and prepare reports; explain rules, procedures, processes clearly and concisely. 

  • Knowledge for providing a variety of revenue-based programs in the areas of general athletic programs, athletic leagues, tournaments, and instructional classes including administering contracts, purchasing materials, obtaining permits, providing rules, and soliciting sponsors. 

  • Knowledge of the operational needs of athletic fields, gymnasiums, and the physical needs required for the promotion of athletic programming. 

  • Ability to follow and maintain a budget. 

  • Ability to communicate and establish rapport, understanding, and confidence with participants and the public; exercise independent judgment in the application of league and tournament rules and procedures; plan, promote, organize, and coordinate athletic programs and events; and be a team player in the organization. 

  • Possess strong verbal, written, and interpersonal communication skills and the ability to present in front of a group.
